Job Title: Legal Administrator
Job Responsibilities:
Administrative Support:
- Provide dedicated administrative support to the General Counsel, including managing scheduling needs, logistics, travel arrangements, correspondence, expense reports, and more.
- Assist in the preparation and organization of documents, reports, presentations, and special projects for both the General Counsel and the Legal department.
- Coordinate team activities, meetings, and events, including selecting and engaging external vendors, and arranging conference rooms, catering, and audio/video services as needed.
Operational Support:
- Administer the department’s invoice management system for law firms (e-billing), ensuring timely processing of invoices, identification and resolution of billing discrepancies, and process streamlining.
- Serve as the primary administrator for the company’s Board of Directors portal, scheduling meetings, uploading materials, organizing content, and liaising with Directors.
Communication and Coordination:
- Build and maintain effective relationships across departments, including with executives, to ensure smooth communication and operational efficiency.
- Facilitate interactions between internal stakeholders and external parties.
- Meet and greet visitors.
Education and Experience Information:
- A college degree is preferred.
- 2+ years of experience in legal support, legal operations, or administrative roles.
- Strong organizational and communication skills.
- Experience managing calendars, travel, and expenses.
- Proficiency in Microsoft Office applications; familiarity with billing or similar systems is a plus.
- Ability to manage multiple priorities and maintain confidentiality.
- Proactive, self-starter; anticipates needs and acts accordingly to reduce burden.
