Job Title: IP Administrator (Patent) I
Job Responsibilities:
The IP Administrator (Patent) I (IPA) is tasked with supporting one or more practitioners and may also provide dedicated support to one or more clients. The role requires a comprehensive understanding of domestic patent prosecution. The IPA's responsibilities include preparing legal documents related to domestic patent prosecution, maintaining dockets, files, and data integrity, and interacting with clients and relevant personnel. The IPA provides practice support and assistance and acts as a liaison between the practitioner and external and/or internal team members or departments.
Essential functions of the job include:
- Preparing legal documents, reports, and correspondence related to domestic patent prosecution for practitioners and/or clients.
- Preparing and filing documents with the United States Patent and Trademark Office (USPTO).
- Assisting practitioners in managing their dockets according to law firm practices.
- Organizing and maintaining the integrity of electronic data and files relating to clients’ intellectual property in accordance with law firm policy and procedures.
- Reviewing incoming correspondence, including paper and electronic mail, facsimiles, docketed information, and/or client instructions, and taking necessary action in accordance with law firm policy and procedures.
- Demonstrating proficiency with a range of software applications, including Microsoft Outlook, Microsoft Word, Microsoft Excel, and applicable IP software solutions, and learning new applications as needed.
- Using strong communication skills to interact with various parties via telephone, electronic mail, and facsimile as necessary, consistently following up, and maintaining open lines of information-sharing with clients, practitioners, direct supervisors, and other law firm management and personnel as needed.
- Coordinating with colleagues and/or departments to ensure successful completion of assigned tasks and other requests in a timely manner.
- Researching and retrieving information for the completion of assigned tasks utilizing applicable resources, which may include the law firm Intranet, law firm training materials, legal rules books (., the Manual of Patent Examining Procedure, etc.), and the USPTO website.
- Performing general administrative and support duties or tasks as required and requested.
- Taking on additional responsibilities as needed and assigned.
Education and Experience Information:
- A Bachelor’s degree is preferred.
- A minimum of one to two (1-2) years of experience in domestic patent prosecution in a law firm or professional setting is required, with a preference for a law firm setting.
- Demonstrated success functioning in a demanding service-oriented environment is necessary.
- Proficient knowledge of domestic patent prosecution procedural terminology, requirements, and workflow is required.
- Effective oral and written communication skills are essential.
- Proven interpersonal skills and the ability to work effectively with different levels of constituencies both as an individual contributor and in a team setting are required.
- Strong critical thinking, interpretive, and problem-solving skills are important.
- Strong organizational skills with meticulous attention to accuracy and detail are necessary.
- The ability to prioritize one's own work is essential.
- Flexibility, resourcefulness, and a willingness to support the law firm and its business needs are required.
- The ability to respond calmly, efficiently, and effectively in stressful situations is necessary.
- Proficiency in MS Outlook, Word, and Excel, and applicable IP software solutions is required.
- Comfort using new technologies and databases is essential.
- Demonstrated ability to handle multiple tasks simultaneously and prioritize tasks in an efficient manner is required.
- The ability to maintain confidentiality of matters and other law firm business information is essential.
- Punctuality and reliability are required.
- The ability to adhere to the established work schedule, with flexibility required to respond to workload demands and work additional hours when necessary, is essential.
Salary Information:
The pay range for this position is $69,000 USD to $84,400 USD annually. The actual pay will be determined based on experience and other job-related factors permitted by law.

Physical Demands:
