Description
The Legal Assistant position at the law firm involves a variety of general legal assistant and administrative duties. Key responsibilities include:
- Preparing and processing legal documents, letters, and forms from dictation or written format, including summons, subpoenas, complaints, appeals, motions, warrants, and agreements.
- Proofreading, mailing, faxing, and arranging for the delivery and pickup of legal correspondence to clients, witnesses, and court officials.
- Maintaining internal and external phone and email correspondence.
- Serving as a backup Receptionist during breaks, lunches, or when the Firm Receptionist is off.
- Preparing e-file documents to meet court requirements, confirming specific fees needed, and following up to confirm court acceptance.
- Documenting court-specific e-file requirements, including rules and fees.
- Scanning, copying, and organizing documents and other printed matter.
- Notarizing legal documents.
- Assisting attorneys in collecting information.
- Scheduling appointments and maintaining calendars and dockets for assigned attorneys.
- Examining the status of files and daily reviews, releases, incoming mail, and court dockets to determine the next course of action and updating accordingly in file management software.
- Monitoring case status and updating parties involved internally or externally.
- Managing daily assignments generated by the case management system.
Qualified candidates must possess the following skills:
- Solid written and verbal communication skills.
- Detail-oriented and organized.
- Ability to handle high work volume efficiently.
- Capability to multi-task upon request.
Education/Training/Experience
- High school diploma or GED is required.
- Paralegal certification and/or law firm experience is preferred.
- Basic to intermediate knowledge of Microsoft Word and Excel.
- Notary Certificate is required.
