Job Title: Executive Legal Secretary
Job Responsibilities:
The Executive Legal Secretary will provide critical legal and administrative support to attorneys across multiple practice groups. Key responsibilities include:
- Drafting, revising, and formatting legal documents, correspondence, memoranda, and emails.
- Performing administrative tasks such as preparing expense reports, check requests, client invoices, and time entry as requested.
- Maintaining and managing client files.
- Maintaining attorneys' calendars and scheduling appointments.
- Initiating communication and responding to client inquiries.
- Coordinating client meetings, travel arrangements (both domestic and international), and conferences.
- Performing general administrative tasks like filing, mailing, answering phone calls, and greeting clients.
- Working cooperatively with staff, paralegals, and lawyers.
- Maintaining proficiency with office procedures and staying current with firm technology.
Education and Experience Information:
- An Associate's degree (.) or equivalent from a two-year college or technical school is preferred.
- At least three years of legal secretarial experience, preferably in a law firm or other appropriate comparable experience, is required.
- 5-10 years of experience as a legal secretary is ideal.
- Litigation and e-filing experience are necessary.
- Strong computer proficiency in Windows-based software and Microsoft Office Suite applications, including Word, PowerPoint, Excel, and Outlook, is required.
- A good working knowledge of document management systems (iManage) is preferred.
- The candidate must possess a high level of professionalism, strong interpersonal skills, and the ability to provide excellent client service.
- Attention to detail, strong organizational skills, and the ability to prioritize and manage multiple tasks under tight deadlines are essential.
