Job Title: Legal Support Coordinator

Job Responsibilities:
The Legal Support Coordinator at the law firm plays a crucial role in assisting attorneys and maintaining strong relationships with the firm's client base. The responsibilities include:

- Establishing new client records and maintaining client information databases, contact, and marketing lists.
- Following up with clients to obtain information requested by attorneys.
- Assisting with the preparation of correspondence, envelopes, and packages for service or filing.
- Processing physical mail and email, and forwarding them to the appropriate persons or taking the required actions as per established company processes.
- Filing all documents both physically and electronically, ensuring documents needing action are brought to the appropriate persons' attention to meet schedule deadlines.
- Maintaining the file folder system in SharePoint, ensuring document filing is completed using the established company process.
- Working with attorneys to ensure court filing deadlines are met and managing tracking schedules.
- Closing case records as directed.
- Promptly asking for clarification when in doubt to ensure accuracy and avoid delay.
- Efficiently handling and tracking all projects assigned.
- Performing other administrative tasks as assigned.

- Proficient proofreading skills.
- Courteous demeanor with all parties and professionalism throughout all interactions.
- Ability to work efficiently and with little direction, particularly when using MS Office suite of apps.
- Ability to plan their own work, meeting deadlines and expectations each day, and proactively asking for guidance when appropriate.
- Ability to identify and work proactively to minimize problems.

Other performance indicators include the ability to follow company policies, report to work as scheduled, dependability, collaboration with colleagues, and error-free performance.

Education and Experience Information:
The position requires a Bachelor's Degree and at least one year of relevant experience as an administrative assistant or paralegal in a civil litigation practice. Additional eligibility qualifications include proficiency in MS Office, MS SharePoint, MS Teams, Adobe Acrobat, QuickBooks, and Minute7.

Physical Demands:
The role involves long hours of sitting and standing, the ability to lift 30 lbs from the floor, and access cabinets and drawers near floor level.

Travel:
The position is based in the business office in Needham, with occasional travel to the post office, FedEx/UPS, copy shops, office supply stores, or local court clerk’s offices.

Salary Information:
The pay for the Legal Support Coordinator is between and per hour, with the potential for bonuses based on performance and regular raises with increased experience and demonstrated capabilities. The expected work hours are 35-40 hours per week during business hours.
