The Wilson Sonsini law firm is seeking an experienced Client Intake Manager to join our Finance Department. We are currently hiring for a hybrid work schedule, with the primary location in Palo Alto and other locations listed as well. The actual base pay offered will depend on factors such as qualifications, experience, education, and work location. We also offer a highly competitive salary and benefits package, including a discretionary year-end merit bonus based on performance.

As the Client Intake Manager, you will play a crucial role in enhancing the intake and set up of new clients and matters in line with client requirements, firm financial policies, and billing processes. You will also have the opportunity to work closely with administrative and legal teams to ensure a seamless intake-to-billing workflow and identify and implement improvements to the intake process.

We are looking for someone with a minimum of 8 years of experience in billing, collections, and eBilling functions at a law firm. A Bachelor's degree or equivalent combination of education and experience is required, along with advanced knowledge of Microsoft Excel. Experience with Aderant and Intapp is strongly recommended.

In addition to technical skills, we are seeking someone with strong service-oriented skills, excellent interpersonal and communication skills, and the ability to work under pressure and meet deadlines while maintaining a positive attitude. You should also be able to work independently and carry out assignments to completion within prescribed routines and standard accepted practices.

Roles and Responsibilities:

- Oversee the finance new business intake workflow, ensuring timely and accurate onboarding of new clients and matters
- Ensure compliance with firm financial policies and risk management guidelines for all new engagements
- Enhance and automate intake processes as part of firm billing improvement initiative
- Implement and refine intake technologies and processes to streamline data entry, approvals, and tracking
- Assist with KYC and risk mitigation efforts through compliance with firm retainer requirements
- Work closely with administrative and legal teams to ensure a seamless intake-to-billing workflow
- Identify and implement process improvements to reduce delays and errors and promote automation and continuous improvement
- Maintain high standards of data accuracy for client and matter information and reporting
- Develop and monitor performance metrics for the intake process
- Provide training and materials to ensure awareness of intake procedures and efficient processes

Qualifications:

Compensation and Benefits:

The primary location for this job posting is in Palo Alto, but other locations may be listed. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate’s qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows:

- San Francisco and Silicon Valley: $131,750 - $178,250 per year
- Austin, Boston, Boulder, District of Columbia, Los Angeles, New York, San Diego, Seattle, and Wilmington: $119,000 - $161,000 per year
- Salt Lake City and all other locations: $105,400 - $142,600 per year
