Job Title: Sr. Client Billing Specialist
Job Responsibilities:
The Sr. Client Billing Specialist at the law firm is responsible for managing complex billing processes and ensuring accurate and timely submission of invoices in accordance with both the firm's and clients' guidelines. The role involves a variety of tasks, including but not limited to:
- Performing daily billing activities to support attorneys, practice assistants, and clients.
- Managing complex billing processes that require additional research and revisions.
- Editing attorneys' monthly proformas (pre-bills) and generating monthly invoices.
- Ensuring matters are set up correctly in the Accounting system by verifying rates, AFAs, billing notes, and instructions.
- Conducting detailed reviews and audits of unbilled time and costs, making significant revisions, proofreading, updating spreadsheets, reconciling invoices, and ensuring accuracy.
- Coordinating with other billing departments on joint billings.
- Reconciling final invoices to the accounting system and verifying supporting documents before submission to clients.
- Managing e-billing processes, including submitting electronic invoices, handling rejections, and resolving errors.
- Overseeing the timekeeper approval process, including matter access for time entry.
- Conducting audits and entering vendor invoices.
- Monitoring e-billed invoice status and assisting in collection efforts for unpaid electronic invoices.
- Creating, editing, streamlining, summarizing, and presenting complex data in legible formats for attorneys, clients, or administrative staff.
- Training, guiding, and providing quality control for Client Billing Specialists in all aspects of billing and e-billing processes.
- Serving as the primary escalation point for complicated billing issues and providing support to internal clients.
- Preparing ad-hoc reports for internal and external clients and maintaining client reports and databases.
Additional Duties:
- Performing other duties, responsibilities, or special projects as directed by the Billing Manager, Manager of Accounting, and/or lawyers.
Education and Experience Information:
- A Bachelor’s degree in accounting or finance is strongly preferred, or equivalent legal/e-billing experience.
- 3 - 5 years of legal billing experience and e-billing experience are required.
- Experience working with e-billing using third-party vendors.
- Proficiency in MS Outlook and Word is required, with advanced proficiency in Excel.
- Proficiency in 3E and knowledge of the HUB e-billing software.
- Knowledge of paperless proforma and advanced proficiency with Elite as well as various e-billing sites.

Additional Abilities Required:
- The job operates in an office setting and is largely sedentary, requiring routine use of a computer and other standard office equipment.
- Ability to open file cabinets, lift files, bend, and stand on a stool may be required.
- May require the ability to work adjusted work schedules, overtime, and evenings/weekends/holidays to meet firm deadlines.
Salary Information:
The compensation salary for the Sr. Client Billing Specialist position ranges from $61,000 to $115,000. The final salary will be determined during the interview process and will vary based on multiple factors, including prior experience, relevant expertise, current business needs, and market factors.
