Account Representative Assistant
Job Responsibilities:
The Account Representative Assistant will be responsible for supporting the Finance department at the law firm. Key tasks include assisting the accounts receivable team and other collectors with new client intake, handling incoming phone calls and emails, researching payment questions, and providing invoice copies. The role also involves being a primary point of contact for the accounts receivable helpdesk, responding to both client and internal inquiries. Additional responsibilities include:
- Assisting the Account Representative team, Billing team, and Collectors as needed.
- Overseeing the A/R helpdesk with incoming calls and emails.
- Responding to client inquiries via phone and email regarding billing and payment questions, researching missing payments, and sending copies of invoices.
- Responding to internal inquiries about billing and payment questions, researching missing payments, and sending copies of invoices.
- Responding to audit letter requests.
- Printing, sorting, and mailing client monthly statements.
- Researching all returned mail for new addresses, updating 3E address information, and re-mailing the document(s).
- Assisting collectors with follow-up calls and emails to clients and attorneys.
- Updating the 3E database with client comments, address changes, and contact information.
- Assisting with Client Onboarding, AR vendor set up forms, tracking payments, and helping as an intake specialist for new client setups.
- Assisting the Billing & Collections Manager with special projects as needed.
- Performing other duties as assigned.
Education and Experience Information:
- High School diploma or . equivalent is required.
- Familiarity with Microsoft Excel, Word, and Outlook is necessary.
- Knowledge of standard accounting practices, with an emphasis on billing and accounts receivable functions, is required.
- Ability to work independently, organize and prioritize numerous tasks and procedures, and complete them within time constraints with minimal supervision.
- Excellent oral and written communication skills are required.
- Ability to communicate effectively via phone and email with clients and attorneys.
- Excellent analytical skills coupled with the ability to anticipate resolutions while negotiating with clients.
- Ability to work under pressure and communicate effectively with all levels of personnel.
- Previous experience with Elite 3E and client onboarding is preferred.
Salary Information:
The pay range for this position in Minnesota and Colorado is to per hour.
The pay range for this position in Seattle is to per hour.
This range represents the law firm's good faith estimate of likely compensation at the time of posting. Actual pay will depend on several factors, including the candidate’s experience, qualifications, skills, and location, and may fall outside of the range indicated.
