Job Title: Full-Time Receptionist/Legal Assistant
Job Responsibilities:
The Full-Time Receptionist/Legal Assistant at the law firm is tasked with a variety of responsibilities to ensure the smooth operation of the office. The role involves daily interaction with clients and staff, demanding a high level of organizational and communication skills. Key responsibilities include:
- Greeting all visitors to the office, welcoming and assisting guests, accepting packages, and signing for mail, and setting up the conference room as needed.
- Managing the office mail by opening, scanning, organizing, and saving all received mail, as well as printing, reviewing, and mailing outgoing correspondence. This also involves delivering certified mail and packages to the post office.
- Handling incoming phone calls by promptly answering and screening them, taking messages, directing calls, or assisting in scheduling phone appointments.
- Assisting with legal tasks such as formatting and sending letters/correspondence, reviewing and summarizing deposition transcripts, medical records, financial records, and engaging in discovery and trial preparation. Additional miscellaneous matter-related tasks are also part of the duties.
- Organizing and physically filing all documents by creating client files for document storage and organizing and filing physical documents in appropriate folders.
- Ensuring the office is well-kept and supplied by maintaining stock levels of office and kitchen supplies, ordering supplies weekly or bi-weekly, and removing any extra trash or recycling if needed.
- Assisting attorneys with miscellaneous personal matters, which includes scheduling personal appointments and handling various personal tasks.
Education and Experience Information:
The role requires someone who is detail-oriented, a fast learner, organized, efficient, proactive, and able to work independently. A sense of urgency and customer service skills are essential. Additionally, a working knowledge of Microsoft Office Suite programs, including Word, Excel, Outlook, and PowerPoint, is required.
