Job Title: Front Desk/Receptionist
Job Responsibilities:
- Greet and welcome guests upon their arrival at the office, ensuring a positive first impression.
- Direct all office visitors to appropriate locations or personnel.
- Answer, screen, and forward incoming phone calls efficiently, managing a multi-line phone system.
- Ensure the reception area is tidy and presentable, maintaining all necessary stationery and materials such as applications, pens, and forms.
- Provide fundamental information to clients and visitors both in person and via phone or email.
- Receive, sort, and distribute daily mail and deliveries, ensuring timely handling.
- Maintain office security by adhering to safety procedures and controlling access to the office.
- Order front office supplies and maintain an inventory of stock to ensure availability.
- Update calendars and schedule meetings, assisting with the organization of office activities.
Education and Experience Information:
- Bilingual proficiency in English and Spanish is required.
- Experience with Case Management software is highly beneficial.
- At least 1 year of experience in the legal field is preferred.
- Candidates should be resourceful and motivated to resolve issues as they arise.
- A customer service attitude is essential for this role.
- Proficiency in Microsoft Excel, Google Spreadsheets, and CLIO is preferred.
- Availability to work on weekends is mandatory.
