Job Title: Administrative Legal Clerk - Senior

Job Responsibilities:
The Administrative Legal Clerk - Senior is tasked with performing a variety of specialized and responsible general and legal administrative, clerical, and document processing functions for assigned programs or projects within a legal department. The role involves supporting law enforcement with administrative tasks and acting as a shift supervisor, participating in employee training, evaluation, and discipline when assigned to the Sheriff's Office. The position requires relieving a supervisor or other department staff of administrative legal support service functions and utilizing independent judgment and initiative. Key responsibilities include:

- Planning, prioritizing, and reviewing the work of staff assigned to various general and legal administrative, clerical, and document processing functions.
- Developing schedules and methods to ensure timely and efficient completion of assignments.
- Participating in evaluating the activities of staff and recommending improvements and modifications.
- Providing and coordinating staff training and working with employees to correct deficiencies.
- Acting as an interdepartmental liaison relating to administrative or project support functions for the office and ensuring compliance with County regulations and practices.
- Acting as shift supervisor when assigned to the Sheriff's Office, conducting employee training and evaluations, and implementing discipline.
- Performing complex legal clerical duties related to a programmatic area of assignment, reviewing complex legal documents, and identifying inaccurate, inconsistent, and unclear information.
- Preparing correspondence and supporting documentation relating to the area of assignment and maintaining accurate records and files of program activities.
- Preparing, interpreting, and maintaining comprehensive inmate and parole criminal cases for inmates, developing an inmate arraignment calendar, and performing sentence calculations.
- Responding to inquiries from the public and outside law enforcement agencies and referring to appropriate staff members for more specific information.
- Operating and accessing automated criminal justice communication information systems and subsystems.
- Collecting legal information from various documents pertinent to the assigned department or functional area of responsibility, compiling data for reports, and preparing routine reports as required.
- Maintaining and monitoring records and files, following up on due dates, and performing other monitoring functions to ensure timely completion of work.
- Performing secretarial duties as necessary, including typing, proofreading, and editing correspondence, reports, proposals, and contracts.
- Building and maintaining positive working relationships with co-workers, other County employees, and the public using principles of good customer service.

Education and Experience Information:
The minimum qualifications for the position include:

Experience: Three years of increasingly responsible legal clerical experience.
Training: Equivalent to the completion of the twelfth grade.
License or Certificate: May need to possess a valid driver's license as required by the position. Proof of adequate vehicle insurance and medical clearance may also be required.

Knowledge, Skills, and Abilities:
The position requires knowledge of legal terminology and forms, principles and practices of legal document processing, English usage, spelling, grammar, and punctuation, principles and practices of computer hardware and software including word processing, spreadsheets, and database packages, principles and practices of filing and record keeping, modern office methods, practices, procedures, and computer equipment, filing and legal record keeping systems, legal clerical procedures of the area to which assigned, pertinent laws, codes, and regulations, and business letter and report writing.

Abilities required include:

- Sitting at a desk and/or standing at a counter for long periods of time, intermittently twisting and reaching office equipment, writing and using keyboard to communicate through written means, and lifting light weight.
- Reviewing documents related to department operations, observing, identifying, and problem-solving office operations and procedures, and understanding, interpreting, and explaining department policies and procedures.
- Providing technical and functional supervision and direct supervision when serving as a shift supervisor.
- Training and evaluating assigned shift personnel.
- Organizing duties and determining priorities to meet assigned deadlines.
- Interpreting, explaining, and applying operating policy, rules, and procedures of assigned function within a legal department as well as pertinent laws, codes, and regulations.
- Performing more complex legal clerical work, retrieving, storing, and purging information in a wide variety of manual and automated filing systems, and maintaining security and confidentiality of restricted information.
- Establishing and maintaining basic financial records and calculating mathematical computations.
- Compiling and maintaining extensive legal records and files.
- Typing accurately at a speed of 45 words per minute.
- Using modern office equipment and computers and maintaining confidentiality.
- Establishing and maintaining effective working relationships with those contacted in the course of work.
- Communicating clearly and concisely, both orally and in writing.

Salary Information:
The salary for the Administrative Legal Clerk - Senior position ranges from to per hour, $4, to $5, per month, and $52, to $65, per year. Additional compensation includes a yearly uniform allowance of , Jail Incentive Pay of 5% for those assigned to the jail, a shift differential of % for those assigned to work the night shift, and an additional 5% of base salary for those assigned to work as a shift supervisor.
