Job Responsibilities:
The Operations Manager at the law firm is a pivotal role responsible for overseeing office operations within the Anchorage office. The position requires a hands-on leader who manages legal assistants and staff, maintains relationships with building management and vendors, and ensures smooth office operations. Key responsibilities include:
- Personnel Management: Supervise legal assistants, operations, and hospitality staff. This includes tasks such as hiring, complaint resolution, staffing levels, scheduling, and performance management. The manager partners with the Seattle Office Administrator on matters like check-ins, goal setting, compensation, coaching, and employee relations. They are also tasked with motivating staff, promoting positive change, and facilitating necessary training for legal assistant staff development. The manager ensures that the work produced by legal assistants is timely, accurate, and meets the needs of attorneys, paralegals, and clients. Efficient management of complex workflows and tracking overtime usage for budget management are also essential.
- Office Operations: Develop and implement office operating policies and procedures. The manager oversees office maintenance, furniture moves, and community space supplies, maintaining a collaborative relationship with building management for handling security and maintenance requests. They facilitate internal communications regarding office events, closures, and coverage, and interface with firm-wide administration departments such as accounting, human resources, and marketing. Maintaining positive relationships with office and firm-wide departments, vendors, and community contacts is crucial. The manager is also responsible for local emergency preparedness plans, including CPR training and emergency evacuation kits. They assist with video conferencing and depositions, manage office onboarding, and coordinate the integration of new employees.
- Event Management: Plan and coordinate office and client internal events in collaboration with various departments. The manager is responsible for managing internal events and community building, engaging employees through well-designed events. They work with the marketing team for external event planning, procure necessary services, manage vendor relationships, and ensure events adhere to budget projections.
- Financial Management: Propose, draft, and monitor budgets for Anchorage office events, review office invoices, and assist with yearly budgeting projections. The manager is tasked with monitoring and managing the office budget throughout the year, controlling expenses, and performing variance analysis.
- General Administrative Support: Direct new client calls appropriately, partner with various departments to maintain and update marketing materials, and recommend internal process improvements for efficiency. Additional duties may be assigned as needed.
Education and Experience Information:
Candidates for the Operations Manager position should have:
- 3+ years of experience in event planning and project management, with demonstrated abilities in implementing efficient processes and problem-solving.
- Prior professional office experience is required, with a preference for those with law firm experience.
- Proficiency in Microsoft Word, Excel, PowerPoint, and other event management software.
- Exceptional organizational, interpersonal, and customer service skills.
- The ability to handle stressful situations calmly and maintain focus on objectives.
- Demonstrated self-motivation and the ability to handle multiple projects simultaneously, work under pressure, and meet deadlines.
- A high degree of initiative, creativity, and excellent communication and interpersonal skills.
- Strong problem-solving skills, attention to detail, and quality control.
- Flexibility to handle multiple assignments and adjust to shifting priorities.
