Position: Receptionist/Operations Assistant
Job Responsibilities:
The Receptionist/Operations Assistant plays a critical role in supporting the daily operations of the reception desk and providing administrative assistance to the Office Manager and general office as required. Key responsibilities include:
- Efficiently admitting and greeting all clients and visitors to ensure a welcoming atmosphere.
- Answering incoming phone calls and directing them appropriately to ensure smooth communication.
- Maintaining excellent housekeeping standards in client-facing areas such as the reception, lobby, restrooms, and conference rooms to uphold the firm's professional image.
- Providing visitors with parking assistance, including directions and validations, to facilitate ease of access.
- Offering administrative support to the Office Manager, including reviewing unidentified mail and vendor invoices to ensure efficient office operations.
- Assisting with the planning of office social events to foster a positive work environment.
- Reporting maintenance issues and managing work orders to ensure office functionality.
- Coordinating parking and facility access cards to manage building security and access.
- Scheduling conference rooms and coordinating set-ups with office services for efficient use of space.
- Collaborating with a backup receptionist to ensure adequate front desk coverage at all times.
- Delivering exceptional service to all clients, visitors, and team members to maintain high satisfaction levels.
- Providing general office and administrative support as needed or assigned to contribute to the overall success of the office.
- Supporting the smooth running of the office and maintaining a positive direction in all activities.
Education and Experience:
- A high school diploma or GED equivalent is required to meet the educational qualifications for this position.
- At least 2 years of experience in reception or office administrative work is necessary to ensure familiarity with office operations and client interactions.
