Job Title: Practice Assistant - Finance & Real Estate

Job Responsibilities:

The Practice Assistant (PA) at the law firm is tasked with providing comprehensive administrative support to an assigned group that typically includes partners, counsel, senior associates, professional specialists, and others based on specific case requirements. The PA's role is integral to the onsite support team, which necessitates a degree of in-office presence to meet the firm's business needs. A hybrid work schedule is available for this position, offering flexibility.

Key responsibilities include:

- Delivering high-level administrative support to assigned timekeepers and others as needed, being both proactive and responsive in managing workloads and information requests.
- Preparing documents with speed and accuracy, proofreading work, and offering suggestions for improvements in work processes.
- Handling phone calls professionally, gathering sufficient information to prepare accurate messages, and executing administrative tasks across various firm applications like InterAction, Workshare, and Chrome River.
- Proactively managing calendars and logistics for meetings, ensuring all details are anticipated and well-coordinated, including AV requirements, catering, and other special needs.
- Maintaining an overall knowledge of ongoing cases, anticipating next steps, preparing for court filings, and managing attorney renewals for various legal organizations and courts.
- Supporting practice development initiatives, managing attorney social media accounts, and handling tasks related to managing client relationships.
- Coordinating services for copy and print jobs, reviewing accuracy, and managing mail/shipping needs.
- Working collaboratively as part of the support team, ensuring the accuracy and completeness of work, assisting co-workers with overflow, and coordinating travel plans and expenses for assigned timekeepers.
- Maintaining a professional image, identifying training needs, pursuing professional development, and sharing knowledge with the support team.
- Embracing new technical solutions and incorporating them into processes, attending firm-sponsored training to maintain software application skills.
- Performing other duties as assigned.

Education and Experience Information:

- A Bachelor’s Degree is required, though experience in lieu of a degree will be considered.
- A minimum of 3+ years of relevant experience within a law firm setting is necessary.
- Notary Public certification is preferred.
- The role requires excellent communication skills, both verbal and written, attention to detail, and the ability to handle difficult situations and varying deadlines.
- Interpersonal skills are essential for working with personnel at all levels.
- Strong research, proofreading, and editing skills are required.
- Proficiency in Microsoft Office Suite, including Excel and PowerPoint, is necessary.
- The ability to work independently with minimal supervision and handle multiple tasks concurrently is crucial.
- A willingness to learn new skills involving Litigation law is expected.

Salary Information:

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position in New York City, NY, is between $77,000 and $110,000. This range reflects the law firm's good faith estimate of the annual salary it expects to pay for the position at the time of posting. In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on factors such as work performance, geographic location, work experience, education, and qualifications. However, this contingent compensation is not yet calculable and may be zero in some circumstances.
