Job Responsibilities:
The Docketing Coordinator will play a vital role within the law firm by providing comprehensive litigation calendaring services. This position requires the individual to:
- Independently manage the firm’s litigation calendar, including all relevant deadlines and scheduled events.
- Docket and calendar case information using the Compulaw docketing system, particularly for cases in California state and federal courts. While experience with Compulaw is preferred, proficiency with any calendaring software will be considered.
- Compute future calendar dates based on methods of service and document filing.
- Access and manage information on the internal electronic docket and calendar, including case history and future filing deadlines.
- Assist the manager in administering department databases or applications, conduct effective firm training programs, and present on docketing systems, policies, and protocols.
- Provide recommendations to the manager to enhance the firm's docketing and calendaring best practices, procedures, and workflow processes.
- Adhere to all calendaring procedures, best practices, and department processes for all matters calendared and worked on.
- Respond to requests from attorneys, legal administrative assistants, and paralegals about calendared events and deadlines, court procedures, rules, and filing processes.
- Conduct research to determine proper court procedures and advise attorneys and staff accordingly.
- Review documents being filed, both electronically and by hand, to ensure compliance with applicable rules.
- Research and respond to procedural questions regarding service and filing of court papers.
- Possess extensive knowledge of court rules and procedures to assist in advising attorneys of Federal, State, and Local rules, procedures, and court-related guidelines.
Education and Experience Information:
- A Bachelor of Arts degree is highly preferred or equivalent experience/education. A paralegal certificate is preferred.
- A minimum of three years of progressive experience working in a Managing Clerk or Managing Attorney Department, and/or Litigation Docketing Department is required.
- Experience with rules-based calendaring software is required, with a strong preference for experience in using Compulaw.
- Experience in docketing case deadlines in California state and federal matters is required.
- The ability to research, analyze, and summarize issues in writing is essential.
- The ability to define problems, collect data, establish facts, draw valid conclusions, and make sound judgments is necessary.
- Excellent attention to detail and organizational skills are required.
- Ability to work independently in a high-volume, fast-paced environment, and prioritize with minimal supervision while meeting deadlines and business objectives is essential.
- Effective oral and written communication skills are required; ability to interact with individuals at all levels of the organization and handle sensitive issues and situations with the highest confidentiality is crucial.
- Proficient skills/knowledge of MS Word, Outlook, and Excel, as well as Adobe PDF Creator (or equivalent) are necessary.
- Ability to work overtime when required.
Salary Information:
The base annual pay range for the Docketing Coordinator role is between $70,000 and $90,000. The base pay offered will vary depending on skills, qualifications, experience, and location, and will also take into account internal equity. A full range of medical, financial, and other benefits dependent on the position will also be offered.
