Job Title: Legal Administrative Support Specialist
Job Responsibilities:
- Prepare, organize, index, develop, and manage relevant data including electronic court filings and evidence.
- Assist with and organize voluminous discovery projects.
- Maintain complex calendars.
- Handle and draft professional correspondence.
- Review preliminary invoices.
- Coordinate travel arrangements.
- Answer phones and act as contact to internal and external customers.
- Intake new cases.
- Collaborate and support the team to provide responsive customer service.
- Perform other administrative tasks as assigned.
Education and Experience Information:
- Litigation experience, required.
- Associate Degree or equivalent training/work experience, required.
- 5+ years of legal administrative litigation support experience within a legal department or law firm or an equivalent combination of education and experience.
- Experience with professional services billing systems.
- ProLaw experience, a plus.
- Experience with document management systems and best practices, strongly desired.
- Experience with eDiscovery, a plus.
Skills and Qualifications:
- Ability to perform multiple tasks simultaneously while maintaining a positive attitude in a fast-paced environment.
- Strong typing skills.
- Effective time management and a high level of attention to detail to balance the workload of Partner and Associate attorneys and efficiently prioritize requests.
- Strong communication and interpersonal skills; can collaborate with all levels of staff both orally and in writing.
- Good analytical skills.
- Ability to resolve issues quickly and efficiently.
- Ability to represent a positive and professional image.
- Demonstrated proficiency in computer software applications, including MS Office (Word, Excel, and PowerPoint); Outlook for calendaring meetings, events, etc. Ability to learn and use other applications may be necessary, such as ProLaw.
- Proven ability to schedule meetings and conference calls with multiple parties and arrange travel.
- Advanced level of knowledge of legal terminology.
- Strong skills to research and problem-solve to obtain information or data from various sources and materials and organize with excellent attention to detail into a comprehensive package.
- Demonstrated knowledge of filing and record tracking systems, both paper and electronic.
- Ability to use a high level of discretion and maintain all attorney-client confidentiality.
- Working knowledge of legal process, protocols, and procedures.
- Ability to multi-task within demanding time frames despite interruptions.
