Job Title: Legal Practice Assistant
Job Responsibilities:
- Utilize the CST workflow application to manage support requests, maintaining proactive communication about task progress with attorneys or other timekeepers.
- Oversee the business intake process, including running adversary searches and drafting screening memos and engagement letters, as well as opening new files.
- Prepare, revise, and format legal documents and correspondence using various software applications, ensuring accuracy in content, spelling, grammar, language usage, and punctuation. Finalize documents for saving.
- Handle electronic filing of documents with federal and state courts and other agencies, preparing documents and fees as required.
- Execute administrative tasks, such as processing and distributing mail, preparing audit letter responses, completing expense reports, preparing check requests, and reviewing client invoices and billing statements.
- Manage timekeeper calendars, including scheduling court docket deadlines, conferences, teleconferences, depositions, and other meetings as needed.
- Assist with projects, overflow work, and other duties to support attorneys, peers, and colleagues throughout the firm.
- Participate in a weekly rotation to monitor and review work requests, ensuring timely task completion and arranging coverage during absences.
- Answer and route incoming calls to appropriate personnel and greet clients, vendors, and staff courteously, ensuring proper clearance and routing as per firm policies.
- Maintain cleanliness and organization of conference rooms, reception areas, and break rooms, prepare and manage coffee services, and order office supplies in coordination with the Regional Office Manager.
Education and Experience Information:
- High school diploma or equivalent.
- At least 2 years of equivalent legal experience, providing skills and abilities normally associated with the role.
- Proficiency in Microsoft Office software programs.
- Ability to learn and apply firm-specific software programs, such as the CST workflow application.
- Competence in working both independently and collaboratively within a team structure.
- Skills in organizing, prioritizing, and completing numerous tasks under time constraints.
- Experience in a fast-paced environment and ability to quickly shift focus between tasks.
- Professional communication skills for interactions with clients and firm personnel.
