Job Title: Docketing Specialist

Job Responsibilities:
The Litigation Docket Specialist at the law firm is primarily responsible for managing and monitoring all docketing requests within their assigned group, which could include specific offices or practice groups. The specialist is tasked with ensuring that all deadlines are docketed in a timely manner according to the firm's guidelines and procedures by utilizing the firm’s docketing software. Key responsibilities include:

- Independently managing docketing tasks for assigned groups, which may include shared email inboxes.
- Reviewing filed documents and written docketing requests to identify and docket all relevant deadlines.
- Conducting limited research as necessary to verify the applicability of deadlines by reviewing court and agency websites and dockets.
- Regularly communicating with case teams to gather additional information necessary for accurate case docketing.
- Verifying the accuracy of docketed items and deadlines generated by the docketing software.
- Ensuring the accuracy of case information and timekeepers on each matter.
- Generating and distributing docket reports for case teams.
- Responding professionally and promptly to all questions and requests from case teams regarding deadline calculations, court and agency rules and procedures, and firm docketing guidelines.
- Maintaining a working knowledge of updates and developments in rules and procedures within the designated docketing assignment group.

Education and Experience:
The ideal candidate for the Docketing Specialist position is expected to have the following qualifications:

- A 2-year degree or Paralegal Certificate is required; a 4-year degree in a related field is preferred.
- A minimum of 3 years of litigation docketing experience utilizing docketing software is required. Experience with Aderant CompuLaw Vision or Milana is preferred.
- Strong knowledge of the litigation process, court rules, and procedures is essential.
- Familiarity with federal and state court systems, as well as arbitration, mediation, and administrative government agencies, is necessary.

Technical Skills:
The Docketing Specialist should have proficiency with docketing software, preferably Aderant’s CompuLaw and/or Milana. Additional technical skills include:

- Demonstrated proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
- Proven aptitude to learn new software applications.
- Familiarity with PACER and other electronic case filing systems.

Language Skills:
The candidate must possess strong communication skills to effectively interact with end users and other department staff members. This includes the ability to:

- Communicate effectively with all levels of clients, professional, and support staff.
- Maintain effective relationships with partners, attorneys, clients, and staff, exhibiting a high degree of responsiveness, diplomacy, and professionalism.

Mathematical Skills:
The position requires the ability to perform basic mathematical operations such as adding, subtracting, multiplying, and dividing in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability:
The Docketing Specialist should have strong reasoning abilities, including:

- Applying common sense understanding to follow instructions furnished in written, oral, or diagram form.
- Dealing with problems involving concrete variables in standardized situations.
- Defining problems, collecting data, establishing facts, and drawing valid conclusions.
- Interpreting a variety of instructions and dealing with abstract and concrete variables.
- Exhibiting independent thinking and decision-making.
- Thinking strategically, developing tactics, and executing pragmatically.

Other Skills and Abilities:
Additional skills and abilities include:

- Strong analytical and communication skills, both oral and written.
- Excellent organizational and planning skills with the ability to prioritize multiple tasks and projects to meet deadlines.
- Ability to work overtime when needed, as the position occasionally requires more than 40 hours per week to perform essential duties.

Physical Demands:
The physical demands for the position include:

- Regularly required to sit; use hands to finger, handle, or feel objects, documents, books, pen/pencil, paper, controls, and manipulate a keyboard; and talk or hear.
- Frequently required to walk.
- Occasionally required to use hands to prepare correspondence and reports on a personal computer.
- Occasionally required to stand and reach with hands and arms, stoop, kneel, bend, crouch, or crawl.
- Ability to operate a variety of standard office equipment, including a computer, copy, and facsimile machines.
- Occasionally lift and/or move up to 25 pounds.
- Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Environment:

Salary Information:
The expected annual salary for the Docketing Specialist position ranges from $65,000 to $90,000. The salary offered will be determined by a wide range of factors, including but not limited to experience level, education/training, and relevant skills.
