Job Title: Legal Secretary - Corporate
Job Responsibilities:
The Legal Secretary in the Corporate department at the law firm is tasked with a variety of duties that are essential for the smooth operation of legal processes and administrative functions. The role requires the composition of general correspondence, reports, memoranda, spreadsheets, expense reports, and complex documents that may demand advanced word processing skills. This includes completing audit letter requests and drafting new client engagement letters. Other responsibilities include maintaining attorneys' appointment calendars, organizing meetings, coordinating business trips, handling sensitive client matters, and preparing mailings. The legal secretary is also responsible for answering attorney phone lines and assisting with invoicing matters, particularly monthly billing, mid-month accruals, and estimates.
Additional duties involve arranging all travel reservations and preparing related travel expense reports, transcribing legal documents, correspondence, and reports from rough drafts, dictation, or transcription. The secretary will open new files, request conflict of interest checks with the appropriate department, and maintain all client and general files, ensuring they are kept current and filing is up to date for each client or case matter. Periodic reviews for possible storage of older files and preparation of files for closure are also part of the responsibilities. The role requires administrative assistance with mergers and acquisitions transactions, including preparing closing books, finalizing documents, and preparing signature pages, as well as handling SEC filings by reviewing EDGAR proofs and finalizing tables. Preparing PowerPoint presentations and other presentation materials is also expected.
Education and Experience Information:
The ideal candidate for the Legal Secretary position should have a minimum of 5 years of corporate legal secretarial experience in a law firm or professional services environment, supporting multiple professionals. A high school diploma or equivalent work experience is required. The candidate should exhibit excellent project management and organizational skills, with the ability to manage competing priorities and prioritize workload to meet deadlines. The role demands the ability to work effectively under deadline pressure and the possession of a high level of professionalism and interpersonal skills to work well with employees at all levels within the organization. Maintaining information in the strictest confidence and using tact and diplomacy when dealing with others is crucial.
The candidate must be capable of composing documents in the appropriate business style, using correct grammar and spelling, and must be able to communicate clearly over the telephone with proper grammar and diction. The ability to proofread typed material for grammatical, typographical, or spelling errors is necessary. Intensive document organization and preparation skills are required, along with proficiency in Microsoft Office (Word, PowerPoint, Outlook, Excel), Adobe Acrobat, and Kofax Power PDF Advanced. A minimum typing speed of 70 words per minute is required.
Salary Information:
The salary range for the Legal Secretary position is between $75,000 and $108,000 per year, depending on skills and experience. The law firm offers comprehensive benefits, including health, dental, life insurance, a 401(k) plan, and other benefits.
