Position: Litigation Legal Administrative Assistant
Job Responsibilities:
The Litigation Legal Administrative Assistant at a law firm is tasked with providing comprehensive legal secretarial and administrative support to assigned attorneys within the litigation business unit. The key responsibilities include:
- Preparing legal documents such as letters, memos, pleadings, and other necessary documentation.
- Entering conflict information into the system for running conflict checks for new clients and preparing supporting documents.
- Filing pleadings, either electronically or otherwise, with the appropriate court systems.
- Docketing dates into a central docketing system to ensure timely legal processes.
- Making travel arrangements and preparing expense reimbursement documentation for attorneys.
- Providing necessary documentation to clients as required.
- Assisting attorneys predominantly in litigation but also providing support in other areas to attorneys, paralegals, and other staff members.
Essential Job Functions:
- Proficient use of MS Word, version 2016, including generating Tables of Contents (TOC) and Tables of Authorities (TOA).
- Familiarity with both federal and state court procedures and filing requirements, including electronic filing (e-filing) in federal court.
- Formatting and proofreading pleadings, letters, memos, and other documents to ensure accuracy and compliance.
- Opening and closing new matters, including submitting conflicts.
- Scheduling meetings, arranging conference rooms, and managing logistics for meetings.
- Maintaining attorney calendars, planning, and scheduling conferences, teleconferences, depositions, and travel arrangements.
- Performing other duties or tasks as assigned or requested by the Office Manager, attorneys, or Business Unit Leader.
Education and Experience:
The position requires a minimum of 3 years of litigation experience. The candidate must possess:
- A high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment.
- Excellent judgment and decision-making skills.
- Strong written and oral communication skills.
- The ability to manage electronic and hard copy documents through litigation technology.
- A thorough understanding of court rules and filing requirements.
- Knowledge of Pacer and ECF filing procedures.
- Strong interpersonal, communication, and organizational skills.
