Job Title: Office Assistant
Job Responsibilities:
The Office Assistant is a pivotal role within the law firm, ensuring seamless office operations by managing various in-office requirements. Key responsibilities include:
- Overseeing mail processing and file production processes, which involves assembling, filing, and shipping cases sent by remote staff following established protocols.
- Receiving, organizing, and distributing all incoming mail both digitally and physically.
- Assisting in resolving vendor and office maintenance issues.
- Acting as the primary point of contact for in-office needs for remote staff, which includes planning periodic in-office events, arranging courier deliveries, and addressing questions regarding the physical office.
- Providing onboarding and offboarding support for in-office employees. This involves providing technological equipment on the first day of employment, collecting equipment on the last day, completing Form I-9 for new hires under the HR department's direction, and following asset management protocols in coordination with IT and Operations departments.
- Performing other administrative duties as needed.
Education and Experience Information:
- A Bachelor's degree is required, with a preference for majors in business, accounting, or related fields.
- At least 2 years of experience in an administrative or operations-focused role is mandatory.
- Experience in business immigration is preferred.
- The role demands the ability to thrive in an entrepreneurial, start-up environment as a proactive problem solver.
- A strong ability to adapt to new technologies and platforms is essential.
- Excellent organizational and time management skills are required, alongside superb attention to detail.
- The candidate should be able to work with multiple stakeholders to meet strict and competing deadlines.
- Demonstrated ability to prioritize multiple projects is necessary.
- Clear and effective communication skills, especially in a professional email setting, are crucial.
Salary Information:
- Compensation ranges from $50,000 to $60,000, depending on experience and location.
