Job Responsibilities:
The Executive Assistant to the CEO at the law firm plays a crucial role in supporting the CEO's day-to-day operations and strategic initiatives. This position involves managing the executive’s calendar, coordinating appointments, and handling correspondence. Key responsibilities include:
- Managing the CEO’s calendar and scheduling meetings
- Monitoring, drafting, and responding to email correspondence on behalf of the CEO
- Preparing and submitting expense reports and tracking business expenditures
- Assisting with monthly financial reporting and reconciliation in QuickBooks
- Maintaining and organizing files and records
- Creating and editing professional written communications, reports, and presentations
- Curating and managing content for articles, educational videos, and other digital media
- Drafting and scheduling social media posts to support the law firm's online presence
- Assisting with the design, formatting, and preparation of presentations, documents, and other content for publishing
- Coordinating internal and external meetings and communications
- Supporting special projects and operational tasks as needed
Education and Experience Information:
Candidates for the Executive Assistant position should have a minimum of 3 years of executive or administrative support experience, with preference given to those who have supported senior leadership. The following qualifications and skills are required:
- Proficiency in QuickBooks and Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Working knowledge of Canva, Adobe Acrobat, and Adobe Creative Suite (Photoshop and/or InDesign), or similar design tools
- Exceptional writing, grammar, and proofreading skills with the ability to craft clear and professional messages
- Highly organized with the ability to prioritize and multitask effectively
- Discretion, trustworthiness, and the ability to handle confidential information with integrity
- Strong communication skills, both written and verbal
- Tech-savvy and comfortable learning new tools and platforms
Preferred qualifications include prior experience in a legal, finance, or professional services environment and experience with bookkeeping software and project management tools such as Asana or Trello.
Salary Information:
The position offers a salary starting from $50,000 per year. The job types available for this role are full-time and part-time, with expected hours of no less than 20 per week.
