Job Title: Client Accounting Coordinator
Job Responsibilities:
The Client Accounting Coordinator is a junior-level, hands-on role responsible for managing the financial aspects of an assigned partners’ portfolio in accordance with the law firm's and client's standards. Key responsibilities include:
- Client Matter Set Up and Maintenance:
- Set up and maintain attorney billing rates, discounts, and deferrals to ensure an accurate billing process.
- Review engagement letters and billing guidelines to ensure matters are set up according to law firm/client standards.
- Continuously maintain and document all non-standard billing requirements.
- Management of Pending Accounts:
- Collaborate with attorneys, secretaries, and the risk department to identify documentation needed for opening a new client/matter.
- Cross-reference billing rate setup with engagement letters to ensure accuracy at the time of billing.
- Prebills:
- Prepare, review, and distribute prebills on a monthly basis; frequency may change depending on the attorney portfolio.
- Perform various billing functions to produce client invoices, including making edits, write downs, transfers, and discounts in Aderant and Prebill Viewer systems.
- Ensure accuracy of completed invoices and timely submission of client bills/e-bills while meeting the law firm's and/or client guidelines.
- Collaborate with the e-billing administrator to ensure e-billing setup and maintenance support is complete.
- Provide estimates to attorneys and clients as required by due dates.
- Conduct client account analysis using various system tools.
- Collections:
- Support full assigned portfolio collection activities, communicate with partners on account status, and take action on next steps.
- Coordinate monthly meetings with assigned billing attorneys to manage their portfolios effectively.
- Communicate and assist clients seeking alternative payment plan solutions.
- Work with cash receipts staff to research and resolve misapplied payments and outstanding balances.
- Prepare write-off/write-down requests and/or third-party collection agency requests as necessary.
- Assist attorneys, secretaries, and clients with billing and collections-related questions and requests.
- Monitor billing and AR hotline and time correction DTE alias on a rotational basis.
- Act as backup support and provide coverage for the team as needed.
- Perform other related duties as assigned.
Education and Experience Information:
The ideal candidate for the Client Accounting Coordinator position will have:
- 1-3 years of finance and/or general accounting experience.
- A Bachelor’s degree in accounting/finance is required.
- Experience with legal billing and accounting systems is preferred.

Salary Information:
The anticipated salary range for the Client Accounting Coordinator position is $60,000 - $85,500. The actual base salary offered may depend on various factors, including the applicant's qualifications, years of relevant experience, level of education attained, certifications or professional licenses held, and the location from which they will perform the job. A discretionary bonus for eligible employees may also be available based on performance.
