Job Title: Client Financial Intake Specialist - Texas
Job Responsibilities:
The Client Financial Intake Specialist at the law firm is tasked with ensuring the accuracy and timeliness of client data related to billing, e-billing, and collections. The specialist will leverage their knowledge of legal financial systems to organize and maintain updated data. Key responsibilities include:
- Ensuring the client's address, contact, and bill distribution updates in Aderant Entity Manager are accurate and up-to-date, making necessary changes as requested and proactively identifying methods to obtain needed information.
- Verifying that billing attorney information by client and/or matter is current and accurate.
- Reviewing new client engagement letters for billing guidelines, special rates, and alternative fee arrangements to ensure systems are set up properly for a smooth flow of end-to-end information.
- Reviewing new client engagement letters for retainer information and coordinating with Accounts Receivable Specialists to ensure timely receipt of retainers.
- Reviewing current and new client guidelines and updating financial systems accordingly to facilitate proper time entry, billing, e-billing, and collections. This includes communication with the billing attorney and the Office of General Counsel for approval of guidelines.
- Collaborating with Management on Aderant Projects to assist with new timekeeper setup, enforcement of client billing restrictions and requirements, and client budgets.
- Conducting research and resolving ad-hoc projects and assignments as they arise.
Education and Experience Information:
- A Bachelor's degree or comparable level of legal billing experience is preferred.
- A strong understanding of all end-to-end aspects of client revenue accounting is required.
- Experience with Aderant Entity Manager and Prebill Manager is required. Experience with other software such as Docudraft, BillBlast, Intapp Time, and other revenue-cycle software is a plus.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook, is necessary.
- Excellent attention to detail, written, verbal, and interpersonal communication skills are required.
- The candidate must be a proactive, inquisitive, and analytical problem solver with effective client management skills and a record of providing excellent customer service.
- Flexibility, time management, organization, and the ability to prioritize workloads effectively are necessary.
Salary Information:
The offered salary will be determined by various factors, including but not limited to work location, individual skill set, previous/applicable experience, education, external market data, and consideration of internal equity.
