Job Responsibilities
The Legal Secretary at the organization is responsible for performing a wide range of legal secretarial duties, including the most complex tasks. Under the supervision of the Assistant Chief Counsel, the Legal Secretary will:
- Prepare, type, format, edit from draft, and process (file and serve) a variety of legal documents such as medicals, exhibits, briefs, motions, notices, petitions, and depositions across multiple courts or jurisdictions.
- Review all documents for accuracy to ensure they are typed, proofread, copied, and filed/served in accordance with proper formatting and procedures.
- Create and maintain electronic files related to specific cases in accordance with office procedures.
- Ensure timely filing of briefs/documents in the proper venues.
- Redact Personal Identifiable Information from documents when necessary.
- Coordinate and schedule court-related matters and services in compliance with jurisdictional requirements.
- Maintain the attorney’s calendar, prioritize work products, and ensure compliance with strict Court/Discovery Litigation requirements.
- Finalize documents for attorneys in preparation for litigation or other proceedings by assembling trial exhibits and discovery documents, generating tables of authorities, and checking case citations.
- Electronically file documents and pleadings in the appropriate court(s) and ensure the use of legal resources from traditional library references and software applications.
- Handle telephone and electronic communication to determine the necessary course of action and provide quality customer service.
- Process incoming mail, email, phone calls, and faxes timely, routing them to appropriate staff or departments.
- Serve as a lead person to other clerical staff, including Senior Legal Typists, and serve as backup for the Legal Support Supervisor in non-supervisory tasks.
- Train and mentor other clerical staff as needed/requested, providing information and support for inquiries of a more complicated nature or issues requiring confidentiality.
Education and Experience Information
Minimum Qualifications for the Legal Secretary position include:
- Experience: One year of experience in the California state service performing the duties of a Senior Legal Typist, Range B, or two years of experience in a private law firm, corporate law office, or a legal program in a governmental agency performing a full range of legal secretarial duties, which require the preparation of legal documents for filing and service.
- Academic education above the 12th grade may substitute for six months of the required experience on the basis of either one year of general education being equivalent to three months of the required experience, or one year of education of a business or commercial nature being equivalent to six months of the required experience.
- Completion of a certificated legal secretarial program at either a regionally accredited college or a business school approved by the Bureau of Private Postsecondary and Vocational Education and accredited by the Accrediting Council for Independent Colleges and Schools may substitute for one year of the required experience.
- Candidates who are within six months of satisfying the experience requirement may be admitted to the examination, but they must fully meet the experience requirement before being eligible for appointment.
Salary Information
The salary for the Legal Secretary position ranges from $4, to $5, per month.
