Job Title: Legal Secretary
Job Responsibilities:
The Legal Secretary is responsible for performing a variety of administrative functions to support lawyers working on projects related to venture financing, mergers & acquisitions, digital technology, and other transactional matters. The responsibilities include:
- Extensive calendar management, scheduling meetings, conference calls, travel arrangements, and organizing events.
- Coordinating and assembling executed agreements, facilitating signings and closings by communicating with clients and third parties.
- Organizing and maintaining documents and deal files, utilizing document management software.
- Serving as the point person for client logistical needs, including handling monthly billing questions and accrual reports.
- Communicating with clients and third parties on behalf of the lawyer team.
- Preparing and formatting documents in Word.
- Coordinating conflict checks and preparing engagement letters.
- Managing and tracking expense reimbursements.
- Providing back-up support to other administrative assistants when needed.
- Overseeing entry and coding of time.
- Reviewing and verifying all invoices for accuracy, ensuring all information is correct and ready to be sent to clients.
- Collaborating with billing to oversee any revisions in a timely manner.
- Performing ad hoc projects and duties as needed.
Education and Experience Information:
- Candidates should have 2-5 years of previous experience supporting multiple professionals, with the ability to keep team members on track with processes, policies, and deadlines in a fast-paced environment.
- A BA Degree is highly preferred.
- Must be reliable, friendly, and positive, with a can-do attitude.
- Strong multi-tasking skills and the ability to prioritize activities and work under pressure to meet client deadline expectations in a fast-paced environment.
- Strong writing and research skills are required.
- Exceptional organizational skills and strong attention to detail are essential.
- Strong initiative, self-motivation, and teamwork are necessary.
- Proficiency in Outlook, Word, PowerPoint, and Excel is required.
- Comfort with learning new software programs and online platforms is expected.
- Experience with legal billing software is also a plus.
Salary Information:
The base annual pay range for this role is between $75,000-$86,000. The base pay offered will vary and depend on skills and qualifications, experience, location, and will also take into account internal equity. A full range of medical, financial, and/or other benefits dependent on the position will also be offered.
