Job Title: Legal Secretary
Job Responsibilities:
The legal secretary at the law firm will be an integral part of the litigation team in the Orange County, CA office. The primary responsibilities of the legal secretary include providing comprehensive support to multiple attorneys. Key duties entail preparing and revising correspondence, pleadings, and various legal documents. The legal secretary is tasked with maintaining electronic case files and ensuring they are updated for ease of search and retrieval. They are responsible for assisting in the preparation of administrative filings and exhibits for agency matters, as well as submissions for arbitration, mediation, and discovery in state and federal matters.
Additionally, the legal secretary will manage attorney calendars to ensure compliance with filing deadlines, complete monthly expense reports, and assist in monthly client invoicing in collaboration with the billing department. They will also monitor Continuing Legal Education (CLE) needs and assist with bar admissions for supported attorneys. Travel arrangements, including booking flights, hotels, and transportation, will be organized by the legal secretary, who will also update reservations as necessary through the firm's travel agency.
The legal secretary is expected to prepare notebooks, proofread documents, run conflict checks, and open new client engagements with the new business team. They should maintain a continued knowledge and basic status of current cases and projects of assigned attorneys, overseeing a variety of complex and confidential, time-sensitive materials. Other administrative duties may be assigned as necessary.
Education and Experience Information:
The position requires a minimum of 5 years of legal experience, preferably in labor and employment law. A solid understanding of basic technical legal terminology is essential, along with experience in ECF and California state e-filing systems. Proficiency in using a document database system such as NetDocs is required, as well as proficiency in the Windows environment, including Word and Outlook.
Familiarity with state and federal rules and procedures, as well as general legal procedures, is necessary. Experience with billing software like InTapp and expense reporting software like Concur is considered a strong plus. The candidate should have experience supporting at least four active attorneys simultaneously and be experienced with trial preparation. Strong verbal and written communication skills, excellent proofreading skills, and attention to detail are crucial. The ability to multitask while maintaining quality work and meeting deadlines is essential, as is the ability to balance a workload effectively.
Strong interpersonal skills are required to work well in a busy litigation team environment and communicate effectively with colleagues and attorneys at all levels. Reliability in terms of punctuality and attendance is expected. An associate degree or a 4-year college degree is preferred, but relevant experience will also be considered.
Salary Information:
For California, the expected salary range for this position is between and per hour. The actual compensation will be determined based on experience and other factors permitted by law.
