Job Title: Legal Assistant Real Estate Closings
Job Responsibilities:
The Legal Assistant in the department is tasked with various administrative duties essential for the maintenance and organization of files, particularly in the context of real estate closings. Key responsibilities include:
- Performing general office duties such as typing, answering telephones, and operating various office machines.
- Organizing the pipeline of real estate closings through administrative tasks like printing, collating, and scanning, alongside other secretarial duties to ensure smooth closings.
- Scanning materials and uploading supporting documentation into the case management system or other designated locations.
- Sorting incoming records by identifying, indexing, and filing documents under their respective client and matter numbers.
- Providing administrative support to the legal team through copying and faxing tasks.
- Searching for and investigating information contained in files, keeping files current, and supplying information from file data or removing files upon request.
- Assuming responsibility for maintaining the highest level of confidentiality of all firm records and files.
- Requesting and obtaining fee approvals from clients and other parties when needed.
- Coordinating the filing of motions with internal departments and the Courts.
- Entering data into the firm's and clients' case management systems.
- Performing other duties as assigned.
Education and Experience Information:

- Minimum of 1-2 years in a busy office environment, with prior law firm experience strongly preferred.
- Ability to multi-task in a fast-paced work environment.
- Excellent communication skills, both written and verbal.
- Possession of strong computer skills, particularly with Microsoft Office Suite, and a general understanding of software systems to access and utilize the firm's case management and client systems.
- A team player focused on providing exemplary customer service.
- Dependable, punctual, and reliable.
