Job Responsibilities
The Transactional Secretary/Practice Specialist I is responsible for supporting attorneys and paralegals within the Corporate & Securities practice group at a law firm. Key duties include:
- Drafting, editing, and proofreading legal documents to ensure accuracy and compliance with firm standards.
- Conducting conflict checks and handling new matters, which involves preparing engagement letters and managing client and case documents.
- Collaborating closely with attorneys and paralegals to prepare and file official correspondence in accordance with the firm's standards and procedures.
- Regular communication with the team to ensure smooth workflow and double-checking work products before presenting them to attorneys for review and prior to sending or filing.
- Managing calendar and travel arrangements, case management, and providing billing and expense support.
- Handling multiple projects in a fast-paced, high-pressure environment, requiring prioritization and flexibility.
- Being available and able to work during core business hours.
Education and Experience Information
Required qualifications for the role include:
- A minimum of 3-5 years of relevant legal experience in a law firm setting.
- Proficiency in Microsoft Office Suite and the ability to quickly learn new software.
- Excellent spelling, grammar, and punctuation skills.
- Strong attention to detail, ability to prioritize tasks, and excellent time management skills to meet deadlines.
- Ability to handle multiple projects with changing priorities while working independently in a fast-paced environment.
- Willingness to work overtime, evenings, and weekends as needed.
Education and/or Experience requirements:
- A high school diploma or equivalent is required, along with substantial and relevant work experience.
- A bachelor's degree or some college is preferred.
- A secretarial certification or ABA-approved paralegal certification is preferred.
Computer/Software Knowledge:
- Proficiency in Windows 10, Microsoft Outlook, Excel, PowerPoint, Adobe Acrobat, Zoom, and Teams.
- Experience working with a document management system.
- Ability to quickly learn new skills and systems.
Work Environment
The law firm has a hybrid work policy, requiring employees to work in the office at least three days per week, with the remainder of the week spent working from home, subject to change. Overtime may be required as job duties demand.
