Job Title: Practice Assistant
Job Responsibilities:
The Practice Assistant will provide direct support to the Financial Institutions practice, focusing on client billing and related administrative tasks. The role is designed for an organized and self-motivated individual with an interest in the legal profession. The position can be based in the Austin, Dallas, or Houston, Texas office and involves a hybrid work schedule of three days in the office and two days remote. Overtime and schedule flexibility may be required occasionally. The responsibilities include:
- Collaborating with lawyers to develop and manage budgets based on work in progress (WIP)
- Responding to client billing inquiries and resolving billing issues
- Familiarizing oneself with client legal services agreements (LSA) and reviewing invoices to ensure compliance with LSA
- Managing the invoice appeals process, including adjuster approvals and revisions to invoices as needed
- Maintaining the invoice schedule and preparing monthly payment status reports
- Monitoring and analyzing budget vs. actual performance, identifying variances, trends, and opportunities for cost optimization, and preparing and presenting regular financial reports to stakeholders with actionable insights
- Preparing ad hoc reports such as accounts receivable for specific matters or groups of matters and rate reporting
- Training timekeepers on billing guidelines and best practices for clients
- Handling additional responsibilities or special projects as requested
Education and Experience Information:
- Minimum one year of experience in a law firm or professional service organization is preferred
- An associate or bachelor’s degree is preferred; a high school diploma is required
- Proficiency in Microsoft Office Suite is necessary
- Strong skills in Excel, including vlookup and pivot tables
- Tech-savvy and willing to invest in becoming proficient in new software
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail
- Strong work ethic and positive attitude, with flexibility to work overtime as needed
- Exercises confidentiality and discretion
- Self-starter who takes initiative and has a willingness to learn
- Demonstrates accountability; takes ownership and pride in work
- Strong time management skills; able to prioritize actions from multiple sources
- Ability to learn and understand basic firm principles
- A minimum two-year commitment is required
