Job Title: Practice Manager - Financial Services
Job Responsibilities:
1. Lawyer Performance:
- Monitor lawyer workloads, billable hours, productivity, and time entry compliance.
- Escalate material anomalies or concerns to the Department Chair routinely.
- Ensure follow-up on action items.
2. Financial Performance:
- Partner with the department financial advisor to stay updated on key performance indicators.
- Provide guidance to the Department Chair with insights to assist in managing the department.
- Proactively oversee accounts receivable, unbilled time, and collections.
- Escalate material concerns to the Department Chair.
- Liaise with the Department Chair, finance and accounting team, and department lawyers to resolve issues related to matter, billing, or process.
- Follow up to ensure completion of action items undertaken by department lawyers.
3. Matter Intake:
- Review and approve routine client and matter intake, conflicts issues, and billing rate exceptions.
- Research and escalate issues to the Department Chair, as appropriate.
4. Marketing/Business Development and Department Expenses:
- Liaise with the marketing and business development team to develop department annual budgets.
- Approve proposed expenditures for marketing/business development in conjunction with the Department Chair.
- Partner with the finance and accounting team to set annual budgets for interoffice travel and department meetings.
- Track department spending against budgets and conduct necessary after-action reporting.
- Review and approve expense reports and vendor invoices, escalating to the Department Chair as needed.
5. Department Communications and Events:
- Liaise with the law firm’s administrative departments on behalf of the Department Chair to ensure department priorities and needs are met.
- Facilitate department meetings, projects, and events in conjunction with the Department Chair.
- Serve as a hub for communications between the Department Chair and department members.
- Coordinate with the Department Chair’s practice assistant and assist as requested by the Department Chair in managing the chair’s calendar and coordinating department travel.
Education and Experience Information:
- Bachelor’s degree and five years of relevant experience with a record of achievement and increasing responsibility.
- Direct experience in a law firm or professional services environment preferred.
Additional Qualifications:
- Highly organized with an ability to prioritize, multi-task, and meet deadlines.
- Ability to work comfortably with all levels of lawyers and professional staff.
- Emphasis on client service.
- Strong written and verbal communication skills.
- Must work well under pressure, be a problem-solver, and a team player.
