Job Responsibilities:
The Billing Coordinator at the law firm is tasked with managing the preparation and processing of client billing for billing attorneys as designated by the Senior Billing Manager. The role includes handling special projects as required. Key responsibilities include:
- Selecting and printing proformas as per attorney requests.
- Editing and printing draft bills.
- Reviewing and approving billing work completed by billing secretaries to ensure adherence to firm standards.
- Processing final bills and dispatching them to clients; submitting bills electronically when necessary.
- Requesting expense backup from accounts payable to accompany client bills and verifying the accuracy of the backup.
- Processing unbilled write-offs.
- Monitoring client invoice short payments, researching them, and making required changes in the system.
- Monitoring and tagging alternative fee arrangement matters in the system.
- Monitoring client electronic billing for outstanding invoices.
- Submitting non-billable transfer approval forms and backup to the Firmwide Billing Manager.
- Conducting research, running special reports, and assisting billing attorneys in client billing preparation.
- Submitting employee personal statement revisions to St. Louis for processing.
- Completing special projects, reporting, and analysis as needed.
- Supporting and/or backing up billing secretaries, co-workers, and the Accounting Manager.
- Performing other duties as assigned.
Education and Experience Information:
To perform the duties of the Billing Coordinator successfully, the candidate must meet certain qualifications and possess specific skills, which include:
- Proficiency in Microsoft Word and Excel; a working knowledge of accounting databases is strongly preferred.
- Ability to use a Ten-Key calculator by sight and touch.
- Must be responsible, self-motivated, accurate, and detail-oriented.
- Ability to inspire confidence and maintain confidentiality.
- Capability to work overtime up to four hours per week.
- Professional interaction skills with both internal and external clients at all levels.
- Clear and concise communication skills, both verbal and written, with internal and external clients.
- Regular attendance and punctuality as per scheduled workdays and times.
Education/Experience/Certifications:
- A high school diploma or equivalent is required.
- A minimum of three years of prior law firm billing experience or equivalent accounting experience is necessary.
- Experience with 3E billing software and eBilling software is considered a plus.
