Job Title:
Legal Assistant (a/k/a Legal Secretary) - Litigation Insurance Defense/Transactional

Job Responsibilities:
The Legal Assistant will be responsible for a variety of tasks that support the Healthcare Regulatory Litigation department and the Transactional department. Key duties include:

- Preparing documents and e-Filing submissions to state and federal agencies as well as commercial insurance companies
- Cleaning up complex Word documents and converting documents from Adobe PDF
- Assisting with corporate transactional closings (training provided)
- Maintaining a diary of time-sensitive filing deadlines and follow-ups
- Managing attorneys' calendars, coordinating meetings and appointments, and scheduling calls/meetings via Microsoft Teams
- Tracking attorney Continuing Legal Education (CLE) credits, scheduling CLE courses, and submitting certificates of completion to the relevant states while keeping records
- Scanning, saving, and uploading documents to the document management system (NetDocs) and utilizing Centerbase for billing, potential new clients, contact information, and engagement letter monitoring
- Using Litera Compare and Track Changes for editing documents
- Answering direct lines in a timely and polite manner
- Coordinating travel as necessary
- Processing time entries for attorneys
- Communicating effectively and calmly with staff, attorneys, and clients, even under pressure
- Providing backup support to other Legal Assistants when necessary

Education and Experience Information:
- A minimum of 3 years' experience as a Litigation Legal Assistant/Legal Secretary in a private law firm is required. Experience in insurance defense and healthcare/regulatory matters is helpful.
- Proficiency in Microsoft Office Suite, Adobe, and Docusign products is required, with Centerbase experience being helpful.
- The candidate must possess excellent communication, proofreading, and organizational skills.
- The ability to prioritize assignments and tasks is essential.
- Knowledge in Table of Authorities (TOA) and Table of Contents (TOC) is helpful.
- The position requires someone who is extremely organized and pays close attention to detail.
- Excellent verbal and written communication skills are necessary.
- The ideal candidate will have an easygoing personality and genuinely care about their work.

Salary Information:
The salary for this position is estimated to be between $65,000 and $75,000 per year. This is a good faith estimate, and the final salary will depend on the candidate's experience and work background. The position is full-time and hourly.
