Job Title: Legal Administrator – The Chaos Organizer-In-Chief
Job Responsibilities:
- Operations & Admin: Manage day-to-day office operations including HR, vendors, staff onboarding, and payroll support. Ensure compliance with firm policies, bar rules, and IOLTA requirements. Own internal communications to keep the team in sync and on schedule.
- Billing & Finance: Handle timekeeping, billing, invoicing, and collections. Assist with budget tracking, financial reporting, and expense management. Reconcile accounts and support external accountants as needed.
- Technology & Tools: Run the tools that support the firm such as Clio, QuickBooks, Asana, and Google Workspace. Maintain digital filing systems, streamline workflows, and introduce new technology when needed. Build processes rather than just follow them, with a focus on automation.
- Legal Admin Support: Format, proofread, and manage legal documents and correspondence. Track deadlines and maintain the firm calendar. Support case management, client onboarding, and special projects.
Education and Experience Information:
- 3–7+ years in a law firm or professional services operations/admin role.
- Confidence in independently running the business side of a small firm.
- Pro-level multitasking and task-juggling abilities.
- Tech-savvy and systems-oriented, with experience in Clio, Google Workspace, Asana, QuickBooks, etc.
- Strong writing, organization, and communication skills.
- Discretion, maturity, and a get-it-done mindset.
Salary Information:
- Competitive salary ranging from $75,000 to $115,000 per year, based on experience.
- Annual performance bonuses.
