Job Title: Legal Assistant/Receptionist
Job Responsibilities:
- Front Desk Management: Greet and assist clients, visitors, and phone inquiries in a professional and friendly manner.
- Client Communication: Serve as the primary point of contact for clients, providing information and updates on their cases.
- Appointment Scheduling: Coordinate and schedule client appointments, meetings, and consultations for attorneys.
- Document Management: Organize and maintain client files, ensuring that documents are properly filed and easily accessible.
- Follow-up on Treatment Status: Contact healthcare providers, insurance companies, and clients to follow up on the status of medical treatment, claims, or legal matters.
- Letters of Representation: Prepare, send, and track Letters of Representation to insurance companies and other relevant parties.
- Data Entry & Record Keeping: Enter client information, treatment updates, and case progress into the system accurately and promptly.
- Legal Correspondence: Draft and send routine letters, emails, and legal documents under the direction of the attorney.
- Administrative Support: Assist attorneys with clerical tasks, including file organization, case preparation, and other ad hoc administrative duties.
Education and Experience Information:
- Fluency in Vietnamese: Ability to communicate clearly and effectively in both Vietnamese and English is highly preferred to assist with diverse clientele.
- Customer Service Experience: Previous experience in a client-facing or customer service role with a focus on providing excellent service.
- Strong Communication Skills: Ability to handle sensitive situations with professionalism and confidentiality, both in-person and over the phone.
- Attention to Detail: Strong organizational skills and meticulous attention to detail, particularly when handling sensitive legal documents.
- Multitasking Ability: Able to juggle multiple tasks efficiently while maintaining a calm and organized workspace.
- Legal Office Experience (Preferred): Prior experience in a legal setting or familiarity with legal terminology and processes is a plus but not required.
- Tech-Savvy: Comfortable using legal management software, Microsoft Office Suite, and other standard office tools.

Salary Information:
- Pay: $48, - $60, per year
