Job Title: Administrative Assistant/Receptionist
Job Responsibilities:
- Manage and maintain the front desk and lobby areas to ensure a welcoming environment.
- Manage office vendors to ensure office operations run smoothly.
- Professionally greet and direct visitors and clients to the appropriate employee, ensuring excellent customer service.
- Receive and transfer incoming calls on a multi-line telephone system efficiently.
- Perform general administrative assignments and handle all incoming and outgoing mail to support office functions.
- Manage and maintain inventory of all office supplies to ensure availability.
- Manage the schedule of conference rooms to optimize usage.
- Oversee maintenance of office equipment to ensure functionality.
- Hire and supervise firm runners to assist with various tasks.
- Manage Law-Pay online payment processing and process payments over the phone and in-person to support financial operations.
- Undertake additional firm-related projects as needed to support the team.
Education and Experience Information:
- Bilingual in Spanish is a plus, indicating that language skills are beneficial but not required.
- Knowledge and experience in Microsoft Office and Microsoft Excel are required, demonstrating the importance of technical skills.
- Light bookkeeping capabilities after training, suggesting that some financial processing responsibilities are part of the role and training will be provided.
Salary Information:
- Pay: $45, per year
