Job Title: Billing Coordinator
Job Responsibilities:
The Billing Coordinator at the law firm is primarily responsible for ensuring the timely, efficient, and accurate processing of client billing and E-Billing. The role involves close collaboration with an assigned group of attorneys to facilitate client billing according to established guidelines and attorney requests within the firm's policy. Key responsibilities include:
- Creating client prebills and uploading them to the Prebill Manager.
- Reviewing and collaborating on attorney prebill edits to generate client bills in compliance with client billing guidelines and firm policy.
- Identifying unusual situations, gathering information, and escalating for assistance as needed.
- Developing and maintaining internal and client reports, including spreadsheets, charts, summaries, and expense backups.
- Distributing invoices via the client E-Billing system and resolving issues with uploads, rates, billers, and budgets to ensure a seamless process.
- Becoming an expert on client engagement letters and billing guidelines to ensure compliance and minimize billing and collection delays.
- Reviewing daily cash reports for client payments and application accuracy, identifying reductions for coordination with billing attorneys to appeal or write-off.
- Coordinating client work-in-progress write-downs and accounts receivable write-offs, obtaining proper approvals per policy, and forwarding for processing.
- Organizing and maintaining client billing and instruction files for each billing attorney and client account, implementing recordkeeping methods for increased efficiency and continuity.
- Conducting research and resolving ad-hoc projects and assignments as they arise.
Education and Experience Information:
- Five years of experience in legal billing is strongly preferred, or comparable legal experience.
- A strong understanding of all end-to-end aspects of client revenue accounting is essential.
- Experience with Aderant Billing, Prebill Manager, and client E-Billing platforms is strongly preferred. Experience with software such as BillBlast and other revenue-cycle software is a plus.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook, is required.
- Excellent attention to detail and strong written, verbal, and interpersonal communication skills are necessary.
- The candidate must be a proactive, inquisitive, and analytical problem solver.
- Ability to collaborate and cross-team with all finance team members and promote a positive work environment is essential.
- Effective client management skills with a record of excellent customer service are required.
- Flexibility and the ability to manage time, organize, and prioritize workload effectively are necessary.
Salary Information:
The salary range for the Billing Coordinator position is $75,000 - $85,000 in Los Angeles. The offered salary will be determined by a variety of factors, including but not limited to, work location, individual skill set, previous/applicable experience, education, external market data, and consideration of internal equity.
