Job Title: Legal Practice Assistant
Job Responsibilities:
The Legal Practice Assistant is responsible for supporting the delivery of quality legal services to clients by providing secretarial and administrative assistance to attorneys. This includes performing complex and specialized secretarial and clerical tasks, working collaboratively in a team-oriented environment, and supporting multiple attorneys as primary assignments. Key responsibilities include:
- Preparing Documents: Utilizing word processing and document management software to prepare and process correspondence, memoranda, and complex legal documents according to practice group requirements. This involves independently composing routine cover letters and documents, proofreading for formatting, spelling, and grammar, preparing revisions, and e-filing documents as necessary.
- Processing Mail: Reviewing and routing incoming mail and fax communications, preparing and processing outgoing mail and faxes, and arranging for specialized mail or messenger services.
- Maintaining Calendar: Updating and managing calendars for assigned attorneys, including scheduling meetings, appointments, due dates, and client activities.
- Maintaining Files: Keeping paper and electronic files in compliance with internal policies, performing routine filing, and retrieving files as needed.
- Timekeeping: Preparing time entries for assigned attorneys, submitting them in a timely manner, preparing expense reimbursement and disbursement requests, and coordinating client billing matters with the Billing Department.
- General Administrative Support: Preparing and processing new matter documents, screening phone calls, directing clients and visitors, coordinating travel arrangements, scheduling meetings, and arranging conference rooms and meals. The assistant is expected to communicate effectively and professionally with clients and colleagues, anticipate the business needs of assigned attorneys, and meet deadlines.
The Practice Assistant may also assist with mentoring new office staff and piloting new software as needed.
Education and Experience Information:

- Knowledge of legal terminology, legal documents, and legal processes
- Accurate typing skills of at least 70 words per minute
- Strong computer proficiency in MS Office, document management, time entry, e-filing, and database software
- Excellent communication skills, both written and verbal
- Understanding of correct grammar, spelling, and punctuation
- Strong proofreading skills
- Superior organizational skills, including filing, calendaring, and proofreading
- Time management skills and the ability to work independently as well as with a team
- Regular predictable attendance is required
Salary Information:
In accordance with California’s amended labor code as stated in Senate Bill 1162, the expected salary range for this position in California is between $50,700 and $100,000. Actual pay will be adjusted based on experience, geographic location, and other job-related factors as permitted by law.
