Job Responsibilities
The Legal Assistant is responsible for coordinating assignments for attorneys assigned to cases, setting appointments for these attorneys, and contacting clients, deponents, co-counsel, opposing counsel, and others to arrange depositions and other functions. Effective interaction with individuals at all levels of the law firm, clients, and members of the public is essential.
The essential duties include:
- Drafting correspondence, emails, deposition summaries, discovery plans, initial reports, and status reports.
- Setting up matters in the Client Profiles system and maintaining accurate information from the inception to the conclusion of each case.
- Making necessary travel arrangements.
- Arranging depositions and engaging court reporters as necessary.
- Participating in the firm’s docketing system, including scheduling, logging, and reminding attorneys of deadlines and appearances.
- Preparing travel reports and vouchers as needed.
- Assisting paralegals in preparing discovery documents and electronically filing pleadings via Florida court’s E-Filing Portal.
- Maintaining the calendar with the scheduling of conference calls, depositions, hearings, and mediations; selecting documents/records to prepare attorneys for the same.
- Coordinating conferences, unsworn statements, and depositions of plaintiffs, defendants, co-defendants, treaters, experts, fact witnesses, and hospital employees.
- Forwarding documents and communication with the clerk’s office and judge’s personnel.
Education and Experience Information
Required Skills/Abilities:
- The individual holding this position must have sound judgment.
- Good typing and computer skills.
- Good proofreading skills.
- Knowledge of civil litigation and legal office practices and procedures.
- Good attention to detail.
- Dependability, professional appearance, and demeanor.
- Comfort with answering incoming calls, making calls, and taking messages.
- Time management and organization skills.
Skills Preferred:
- Proficiency in Client Profiles case management system, ATO.
- ECF (court) filing system.
Physical Requirements:
- Work in an office environment with minimal amounts of walking, climbing, and lifting required.
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
