Job Title: Legal Assistant

Job Responsibilities:
The Legal Assistant at the law firm is responsible for providing comprehensive support to attorneys and paralegals. The primary duties include preparing a wide range of legal documents such as pleadings, affidavits, motions, orders, answers, briefs, memoranda, and correspondence for attorney review and approval. The assistant also plays a crucial role in trial preparation, including coordination and interviewing of witnesses, organizing exhibits, and conducting basic research.

Key responsibilities include scheduling hearings, maintaining a calendar with applicable case dates, and managing a tickler system for all deadlines. The assistant is tasked with collecting, organizing, and maintaining comprehensive client and matter information in a central digital file, ensuring data is easily accessible to all users. The legal assistant also assists in closing files, managing accounts receivable collections, and utilizing the IntelliPad CRM for seminars, events, and holiday client lists.

Additional duties involve assisting attorneys with social media account updates, screening telephone calls and visitors, performing clerical duties such as mail routing, typing, filing, copying, scanning, and record keeping. The assistant also researches case information, files legal pleadings and other documents with various courts, maintains and controls all physical and electronic files for assigned attorneys, schedules appointments, makes travel arrangements, and coordinates meetings. The role may require serving as backup to other secretaries and contributing to a positive work environment.

Education and Experience:
The minimum educational requirement for this position is a high school diploma or GED, with some college education preferred. Candidates must have at least two years of legal assistant experience. Proficiency in MS Office applications such as Word, Outlook, PowerPoint, and Adobe is essential. The candidate must possess excellent verbal, written, and interpersonal skills, with the ability to multitask accurately and prioritize daily projects and duties in respect to deadlines. Familiarity with e-filing is required, along with a demonstrated ability to maintain confidentiality and attention to detail.

Physical Requirements:
The job requires normal, corrective vision range with the ability to distinguish letters, numbers, and symbols. The legal assistant must frequently sit, stand, walk, talk, and hear, with occasional bending, reaching, squatting, and kneeling. The role also involves the ability to reach with hands and arms and occasionally lift and/or move up to 25 pounds.

Working Conditions:
The work environment is primarily indoors, with noise levels usually moderately quiet. The position may require occasional travel. Reasonable accommodations may be made for individuals with disabilities to perform essential functions.
