SUMMARY:
The Legal Assistant provides interim coverage for legal assistants, ensuring continuous and consistent support to attorneys and the law firm.
DUTIES:
- Opening and closing cases, which includes obtaining signed contracts and authorizations from clients, gathering initial case details, requesting final invoices, and circulating closing documents.
- Preparing and sending legal and administrative correspondence, including communications with clients.
- Formatting, finalizing, and proofreading all work product from attorneys sent via dictation, hard copy, and/or email.
- Making travel arrangements for attorneys as needed.
- Receiving and managing incoming phone calls, voicemails, and emails.
- Handling or appropriately routing incoming mail and service documents.
- Ordering and saving investigation reports and/or medical records for cases.
- Transcribing all dictation in a timely manner.
- Maintaining attorneys’ calendars (Outlook/Compulaw) for all statutes of limitations, reminders, tentative rulings, appointments, depositions, and verifying coverage, while coordinating with the master calendar clerk.
- Creating, maintaining, and organizing hard and electronic files.
- Saving all incoming documents, deposition transcripts, reports, etc., to the appropriate folder/file and routing them accordingly.
- Preparing and filing all Complaints at the appropriate court, serving on all defendants, and filing proofs of service.
- Upon receipt, saving and forwarding discovery to attorneys, assigned paralegals, and clients.
- Scheduling CourtCall, Zoom, or in-person appearances for cases.
- Coordinating and confirming deposition dates, arranging court reporters, and, if needed, videographers and interpreters.
- Contacting courts as needed to obtain motion hearing dates, verify local rules, and/or special requirements.
- Typing, gathering supporting documents, organizing, and executing the filing of all motions and oppositions as instructed by attorneys, including tables of contents, tables of authorities, and exhibits.
- Drafting, preparing, and filing all pleadings (hard copy or electronically) at the proper court in a timely manner.
- Preparing for trial, including the preparation of trial binders, exhibits, blow-ups, scheduling experts, motions in limine, CACI jury instructions, etc.
QUALIFICATIONS:
- A college degree is preferred.
- Must have 3-5+ years of litigation experience; plaintiff experience with personal injury and medical malpractice is a plus.
- Strong familiarity with Code of Civil Procedure rules and requirements.
- Must have knowledge of court filing requirements, including experience with e-filing in state and federal court.
- Strong software skills and knowledge (MS Office Suite) and calendaring.
- Exceptional communication and attention to detail.
- Strong project and task management skills.
- Must be highly detail-oriented and able to manage multiple high-volume priorities in a fast-paced environment.
- Ability to work with diverse personalities within various levels of the organization.
- Must exhibit well-developed interpersonal and client relation skills.
