Job Title: Case Support Specialist

Job Responsibilities:
- Enter and/or edit time and billing for attorneys and timekeepers.
- Manage expenses for attorneys including organizing receipts and preparing expense reports and reimbursement requests.
- Draft, type, and scan various forms of correspondence, office memos, documents, emails, and other printed materials.
- Assist in preparing and processing legal documents such as summonses, subpoenas, complaints, appeals, motions, pre-trial agreements, and other due diligence items.
- Transcribe attorney dictation from transcription equipment.
- Support attorneys and team members in preparation for meetings, hearings, depositions, and trials as necessary.
- Order catering for meetings, depositions, and closings as required.
- Assist in the production of documents for opposing counsel.
- Assign and record or stamp identification numbers or codes for document filing.
- Scan and label documents into the law firm's document management system.
- Monitor case documents and maintain a Master File Index of client documents.
- Review case documents for important dates and update calendars accordingly.
- Assist in documenting CLE credits for attorneys as requested.
- Aid in document preparation for attorney licensing and state applications.
- Locate, retrieve, add, and store file material and records.
- Perform periodic file material inspections to ensure correct placement, legibility, and proper condition.
- Read, scan, sort, and classify incoming materials, mail, and information according to guidelines.
- Open and close new client matters, including conducting conflict checks.
- Handle copy jobs, certified mail, mail pickup/drop-off, and local hand deliveries to the courthouse.
- Destroy or transfer inactive cases and unnecessary documents per instructions and legal requirements.
- Maintain accurate records of files and filing systems.
- Order office and break room supplies.
- Reconcile firm credit card in Chrome River.
- Manage telephone communications as needed.
- Interact with clients as required, screen incoming calls, clients, and visitors.
- Perform reception duties such as answering the switchboard, greeting guests, directing callers and guests, scheduling conference rooms, catering, and events.

Education and Experience Information:
- A high school diploma or equivalent is required; a college degree is preferred.
- Relevant experience is necessary.
- Successful completion of courses in business, computers, typing, and English is beneficial.
- Punctuality, a professional image, and a pleasant, professional telephone voice are essential.
- Excellent organizational and paper filing skills are required.
- Attention to detail and excellent knowledge of grammar, spelling, and punctuation are necessary.
- Proficiency in MS Word and Outlook is required; proficiency in MS Excel is a plus.
- Capability to lift and/or transport materials weighing up to 25 pounds.
- Availability to work overtime as requested.
