This mid size Orlando office maintains a full service civil law practice. The is organized into the following areas: litigation, health law, communications and media, employment and labor, tax, personal planning and employee benefits, securities and public offering, real estate, and business and corporate office. Legal Secretary The candidate delivers excellent work and superior service to the Firm's clients; contributes to the Firm's reputation for excellence by providing highly efficient and effective secretarial and administrative support to a legal team consisting of five or more attorneys. Communicates with attorneys and assists in balancing the team's workload to ensure completion of projects within established time frames and quality standards; seeks guidance from the Human Resources Manager as necessary. Prepares and processes legal documents including, but not limited to subpoenas, complaints, motions and other legal documents and pleadings under the supervision and direction of the attorneys. Schedules and coordinates hearings with Federal and state courts. Schedules and coordinates depositions and another attorney/client meetings. Dockets legal pleadings and calendars other dates as appropriate. Manages attorneys calendars. Assists with opening and closing of client matters. Organizes and maintains client files and form files. Assists with billing/edits; enters attorney time into time entry system as requested. Enters expenses into the expense system and requests checks for various vendors. Provides dependable, flexible support. Demonstrates teamwork by providing secretarial and administrative support to others as requested by the Human Resources Manager whenever workload permits; contributes to the assimilation of new legal and support staff. Other duties as requested and assigned.

The candidate should have 3 years of law firm experience, supporting multiple attorneys, or demonstrated ability to learn quickly and multi-task while working for several individuals. C-Suite executive assistant experience may substitute for legal background. Advanced skills with Outlook and Word (using styles, track changes and document comparison programs). Demonstrated proficiency with Excel and PowerPoint. Advanced skills with Adobe Acrobat. Proven aptitude to learn new software applications. Knowledge of appellate, federal, and state court systems, including appellate and federal e-filing and state court online filing systems required, or demonstrated ability to utilize online filing or similar web-based systems. Interpersonal communication skills are necessary to maintain effective relationships with partners, attorneys, clients, and staff in person, by email and by telephone. Ability to provide a high level of customer service and be able to clearly and effectively communicate both verbally and in writing. Must be detailed oriented, able to work independently and in a team environment and able to implement high-priority projects. Basic knowledge of legal terminology, court rules and procedures, or a demonstrated willingness to learn new rules and procedures quickly.
