Job Title: Litigation Legal Secretary
Experience: Minimum of 3 years' experience in a mid- to large-sized law firm
Location: Austin, Texas
Company: Haynes and Boone, LLP

Responsibilities:
- Perform secretarial and administrative duties for attorneys with minimal supervision
- Process new client/matter requests, client bills, time reports, and expense reports
- Word processing of drafts, revisions, and final documents for client-related matters
- Handle court filings, including state and federal e-filing
- Maintain physical and electronic files, contacts, and dockets for attorneys
- Communicate with clients and opposing counsel as instructed by attorneys
- Coordinate travel arrangements and meetings/appointments
- Manage attorneys' appointment calendars
- Answer phones and take messages
- Compose correspondence for client-related matters
- Handle incoming and outgoing mail
- Provide secretarial assistance to summer associates, visiting attorneys, and absent attorneys
- Occasionally coordinate couriers and accompany attorneys to court
- Other related duties as needed or assigned

Requirements:
- Minimum of 3 years' litigation experience
- Mid- to large-sized law firm experience preferred
- Familiarity with court filing requirements and experience with state and federal filings, including e-filing
- Working knowledge of general office procedures and legal terminology
- Familiarity with the firm's technology and applications preferred
- Prior experience with expense reports, client bills, multi-line phones, and conflict-checking forms
- Familiarity with Interaction or another client relationship management database preferred
- Prior experience supporting multiple attorneys required
- Advanced word processing/computer skills with MS Word, Excel, Outlook, PowerPoint, and Adobe
- Excellent written and verbal communication skills
- Strong phone etiquette, attention to detail, and ability to meet deadlines
- Knowledge of legal filing and record-keeping practices
- Highly organized and able to multitask
- Strong customer service and ability to work effectively as part of a team

Education:
- High school diploma or equivalent required
- Two years of college or equivalent preferred

Physical Demands:
- Ability to move around the office up to 15% of the time
- Remain stationary at least 85% of the time
- Operate computers and office productivity machines on a regular basis
- Occasionally move documents or files weighing up to 15 lbs.
- Constant communication and exchange of information with attorneys, clients, and staff
- Ability to inspect and observe information on a computer screen at least 80% of the time
