Law Firm Seeks Experienced Legal Secretary for Chicago Office

Hawkins Parnell & Young, LLP, a national litigation powerhouse with offices across the United States, is currently seeking a qualified and experienced Legal Secretary to join our litigation team in our Chicago office. This position will support four attorneys with a variety of administrative and clerical duties, including document formatting, e-filing, calendar management, document production, and expense reconciliation.

We are looking for a self-motivated candidate with a strong work ethic and excellent organizational skills who can thrive in a fast-paced environment. This is a team-oriented environment, and your legal knowledge, skills, and reliability will be rewarded here.

Key Responsibilities:

- Draft, transcribe, proofread, edit and file court documents and related correspondence, memorandum, pleadings and related documents
- E-file and paper file documents with local, state, federal and appellate courts
- Handle incoming and outgoing mail for attorneys
- Maintain team and court calendars and keep attorneys aware of scheduled events and approaching deadlines
- Schedule meetings, conference calls, and assist with travel arrangements
- Communicate with clients and vendors via phone and email with professionalism and excellent customer service
- Schedule depositions and assist with trial preparation
- Maintain electronic and paper files
- Coordinate travel arrangements and process expense reports
- Assist fellow workers and/or other timekeepers as needed
- Assist with billing

Qualifications:

- Three or more years of legal litigation secretarial experience, preferably in a large law firm
- Proficiency in MS Office and strong organizational, verbal and written communication skills
- Strong attention to detail and demonstrated initiative and self-direction
