Job Title: Legal Administrative Assistant

Lathrop GPM, a top national law firm, is seeking an experienced Legal Administrative Assistant for our Kansas City, MO location. This is a hybrid position, with two days in the office and three days working from a home office. Join our team and be a part of a professional, challenging, yet comfortable working environment.

Duties and Responsibilities:

• Prepare correspondence and documents accurately and in a timely manner
• Anticipate the needs of timekeepers and draft routine correspondence and documents for review and approval
• Proofread documents for spelling, punctuation, grammar, consistency, and accuracy
• Manage client and general files, including opening new files and requesting conflict checks
• Keep client files organized and up to date
• Provide high level client service in all communications
• Effectively communicate with timekeepers
• Handle all aspects of incoming mail and maintain client information
• Enter time for timekeepers, if requested
• Process proformas/bills and ensure accuracy and consistency with firm standards
• Remind timekeepers of upcoming projects, meetings, and due dates
• Gather and prepare necessary materials for meetings, depositions, hearings, and travel
• Schedule internal and external meeting rooms and coordinate food/beverage needs

Requirements:

• Associate’s Degree or equivalent years’ related experience
• Minimum 3 years’ experience as a Legal Administrative Assistant in a law firm or corporate environment
• Excellent interpersonal, written, and verbal communication skills
• Strong attention to detail and organizational skills
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
• Ability to work independently and in a team environment
• Strong problem solving and decision-making skills
• Ability to work well under pressure
• Interest in professional and personal development

Preferred:

• Knowledge of ECF filings in various state and federal courts
• Experience with a document management system (iManage preferred)
• Experience in a teaming environment (Big Hand preferred)
• Experience with expense reimbursement software (Chrome River preferred)
• Intapp (Intake and Conflict Resolution) experience
