H1: Exciting Opportunity for a Legal Administrative Assistant in New York City H2: Join the IP and Trademark Team at a Prestigious Law Firm Kelley Drye & Warren LLP, a top-ranked law firm known for its boutique approach, is seeking a talented and experienced Legal Administrative Assistant to join their busy IP and Trademark team in New York City. This role offers the opportunity to work with highly skilled attorneys and provide high-level secretarial and administrative support to the practice group. The ideal candidate will have a and 3-7 years of equivalent work experience, with prior experience in trademark law as a plus. Responsibilities: - Draft and submit engagement letters to potential clients and process new client/matter cases for conflict checks. - Prepare, edit, proofread, and maintain legal documents for attorney review, including drafting and editing documents, running compares, and transcribing information. - Develop and maintain the practice group's annual budget and assist with budget updates as needed. - Greet and assist clients and visitors, maintaining a professional and confidential demeanor. - Coordinate with team members to ensure timely and accurate client filings and regulatory requirements. - Process check requests, reimbursements, and invoices for attorneys and the practice group. - Arrange and coordinate all aspects of attorneys' travel, including preparing itineraries and monitoring travel reimbursements. - Maintain all client and general files and assist with document control. - Assist with the preparation and proofreading of PowerPoint presentations and other materials as needed. - Handle document processing, including scanning, filing, faxing, and mailing. - Maintain client lists and contact databases. - Answer and route multiple phone lines. - Assist with meeting planning and coordination, including booking conference rooms and arranging catering. - Process and post attorneys' time entries, assist with billing, and liaise with finance on billing and collections. - Provide coverage for legal administrative absences and assist with overflow work as needed. - Perform legal research, special projects, and assignments as required. Qualifications: - and 3-7 years of equivalent work experience required. - Strong computer skills, including proficiency in Microsoft Word, Teams, Excel, and PowerPoint. - Experience with document management, time management, and invoicing systems required. - Exceptional written and verbal communication skills. - Experience providing administrative support to multiple team members, including remote attorneys. - Detail-oriented with excellent editing and proofreading skills. - Ability to work independently and prioritize tasks in a fast-paced environment. - General knowledge of law firm accounting practices, including time entries and billing. - Ability to exercise critical thinking, problem-solving, and judgment. - Flexibility to handle competing demands and adapt to changing priorities. - Ability to work effectively in a team environment with attorneys and colleagues. - Ability to maintain confidentiality and handle sensitive information with discretion. - Willingness to work overtime when necessary. Salary Information: The salary range displayed is specifically for those potential hires who will work or reside in New York City if selected for the role. The final salary offered will be determined based on internal equity, market data, the applicant's skills and experience, and relevant certifications. The salary range for this role in New York City is $80,000-$95,000.
