Position Summary:

The Business Intake & Conflicts Specialist (Laterals) at Cooley Law Firm is responsible for ensuring the Firm's compliance with ethical obligations, risk management policies, and onboarding new business in a timely manner. This position will work closely with other Directors and Managers in the department and have a variety of responsibilities, including case law research, policy and procedure drafting, and coordinating lateral candidate submissions.

Position Responsibilities:

Primary Laterals:

- Review incoming conflict check submission forms for attorneys, paralegals, and staff
- Create lateral folders and update lateral spreadsheets
- Communicate with recruiting/HR, attorneys, and other department members regarding lateral intake
- Maintain cross-reference database
- Run conflict reports and clear contract attorneys as needed

Primary New Business:

- Monitor BIC inbox and respond to inquiries from secretaries, practice team assistants, and attorneys regarding the status of their requests
- Communicate with secretaries, practice team assistants, attorneys, and other business professionals regarding new business
- Run conflict reports as needed

Operations:

- Process and quality control assigned intake review queues to ensure accurate and complete information for upload
- Assist with review and filing of waiver and engagement letters
- Complete final party linking as assigned

Other:

- Provide training to new BIC hires on various systems and tasks as needed
- Lead and manage BIC system and information clean-up projects
- Understand the American Bar Association Model Rules of Professional Conduct and jurisdictional differences in all states and countries where the Firm conducts business
- Conduct research projects related to conflicts of interest, operations, and project issues
- Assist with ethical screen database clean up
- Perform other duties as assigned or required

Required Skills and Experience:

- Proficiency in Microsoft Office, iManage, and other firm applications
- Availability for overtime as needed
- 3+ years of direct applicable experience (. BIC department, legal secretary, paralegal, or executive assistant)
- Strong computer skills

Preferred Skills and Experience:

- Bachelor's degree
- Paralegal certificate
- Experience in a law firm or professional services environment
