The law firm is seeking a highly organized and detail-oriented Legal Administrative Assistant to join our team. This role will provide crucial support to attorneys and other legal professionals in a fast-paced and dynamic environment. The ideal candidate will have experience as a Legal Administrative Assistant and possess a strong understanding of legal terminology, processes, and timelines. This is a full-time position with a hybrid work schedule, allowing for both in-office and remote work days.

Key Responsibilities:

E-filing and serving in state, federal, and appellate courts
Managing court dates and case deadlines
Drafting fee agreements and legal documents
Opening files and performing conflict checks
Coordinating deposition and trial logistics
Assisting with business development and social media efforts
Providing back-up support to other legal assistants
Completing administrative tasks, such as scheduling meetings and answering phone calls

Requirements:

Associate’s or Bachelor’s degree preferred
Previous experience as a Legal Administrative Assistant required
Experience in Intellectual Property and Technology desired, but not required
Proficiency in Microsoft Office, document management systems, and timekeeping software

Physical Demands:

Work is primarily performed in a professional office environment
Regular verbal and written communication with colleagues and clients
Use of office equipment, such as computers, printers, and telephones
Occasional light lifting of files and office supplies
Ability to remain in a stationary position for extended periods of time

Provide administrative and legal support to attorneys and other legal professionals
Maintain confidentiality and exercise discretion in handling sensitive information
Prioritize and manage workloads effectively
Ensure accuracy and professionalism in all communications
Utilize knowledge of legal terminology, processes, and timelines
Collaborate with colleagues and clients to facilitate successful outcomes
Assist with timekeeping, expense processing, and other administrative tasks
Organize meetings, events, and travel logistics
Track and file Continuing Legal Education credits
Contribute to business development and social media efforts
Serve as a back-up for other legal assistants as needed

Qualifications:

Associate’s or Bachelor’s degree preferred
Previous experience as a Legal Administrative Assistant required
Experience in Intellectual Property and Technology desired, but not required
Strong written and verbal communication skills
Proficiency in Microsoft Office, document management systems, and timekeeping software
Ability to work well under pressure and within tight deadlines
Exercise discretion and maintain a high level of professionalism
Demonstrate initiative and independent judgment
Prioritize and manage workloads effectively

docket court dates and case deadlines
draft fee agreements
perform file openings and conflict checks
prepare legal documents, exhibits, and case-related materials
manage physical and electronic case files
coordinate deposition and trial logistics
draft and send client and potential client correspondence
create shell templates in accordance with court requirements
coordinate travel logistics and itineraries
register and log attorney admissions, licenses, and registrations
process and reconcile expenses and invoices
assist with timekeeping
track and file continuing legal education credits
organize meeting and event logistics
assist with business development and social media efforts
provide back-up support to other legal assistants
perform day-to-day administrative functions, such as: schedule meetings, distribute/send mail, screen and place phone calls, etc. lete additional duties as requested

knowledge / skills:

deliver outstanding client service with a can-do attitude
possess strong verbal and written communication skills, including: spelling, grammar, and proofreading proficiency
know legal terminology, life of case timelines, and court processes
use initiative and independent judgment within established guidelines
prioritize workloads appropriately
interpret data accurately and present information concisely
exercise discretion in handling confidential, controversial, or sensitive information
demonstrate high degree of professionalism
work well under pressure and within tight deadlines
word, outlook, excel, powerpoint and document manage system proficiency

education & experience:

associate’s or bachelor’s degree desired
experience as a legal administrative assistant required
intellectual property and technology laa experience desired, but not required

physical demands:

work is performed in a professional office environment and requires the following during the work day:

individual will interact regularly with others verbally, in-person, and via written communication
operate computer and other office equipment such as a copy machine, printer, telephone, etc
