Job Title: Contracts Administrator
Job Responsibilities:
The Contracts Administrator is primarily responsible for managing various commercial contracts, with a focus on direct sales agreements. The role involves supporting other contracts as well. Key responsibilities include:
- Contract Administration:
- Manage a variety of commercial contract matters under the supervision of senior-level managers and/or senior counsel.
- Apply independent judgment and discretion in drafting, reviewing, negotiating, and interpreting contract terms to align with business objectives and mitigate risk.
- Draft and review contracts, including Sales Agreements, NDAs, Supply Agreements, OEM Agreements, and potentially other legal documents, ensuring accuracy through proofreading and corrections.
- Serve as a primary point of contact and subject matter expert on contractual matters for the Direct Sales team, providing expert guidance and interpretation of contract terms.
- Oversee the direct sales contracting process to ensure rapid and efficient response times.
- Proactively troubleshoot and identify potential issues, proposing creative solutions.
- Develop and implement improvements to the contract management process, including templates, workflows, and guidelines to enhance efficiency and accuracy.
- Oversee the accurate maintenance of contract records and utilize contract management systems.
- Generate reports and provide analysis on contract data to support business decisions.
- Legal Administration:
- Provide administrative support to the legal department on tasks directly related to contract management.
- Undertake tasks and duties aligned with the strategic management of contracts.
- Support document retention for contract documents, organizing and maintaining documents in paper or electronic filing systems, and managing contract lifecycles.
- Handle communication tasks, including emails, answering phones, taking messages, and other communications with outside professionals, mainly law firms.
- Organize and attend legal meetings related to contracts, taking meeting minutes as required.
- Perform general support for the legal department, including clerical duties.
- Undertake any other duties or tasks required related to legal and contracting processes.
Education and Experience Information:
- A minimum of five years of contract administration experience working with a medical device, medical equipment, or pharmaceutical company.
- A Paralegal certificate or another contract management certificate is preferred.
- Working knowledge of relevant laws, regulations, guidance, and industry codes related to the medical/pharmaceutical industry.
- Proven abilities for multi-tasking and time management for daily activities.
- Excellent written and verbal communication skills.
- Extensive computer skills are required for MS Office and contract management software and systems.
- Strong organizational skills.
- Strategic thinking, ethical conduct, personal effectiveness, credibility, and thoroughness are essential.
- Ability to work independently.
- Japanese bilingual skills are a plus.
Salary Information:
The position offers a salary range of $85,000 to $95,000 per year on a full-time basis.
